Enhancements to educational features

In certain releases, we focused on developing PortalTalk School features (EDU) that are also applicable to a wider range of business uses. As more schools adopt PortalTalk, additional improvements continue to be made to its school-related functions.

Product Backlog Item 94362: Import Class Teams found as wildcards in team name or primary mail
To import Class Teams PortalTalk now detects the string to import as wildcard search instead of e prefix in the teams name or primary mail address.

Product Backlog Item 97593: Managed Workspace support for max. 20 Entra ID groups
The managed workspace member service now lets you add up to 20 Entra ID groups directly to a job, rather than just one. Nested groups remain supported.


Improving existing features

Product Backlog Item 93790: Teams category support for Read-role discontinued
From this version onward, support for the Read-role in MS Teams categories will cease. Although many customers previously used this feature, the decision was made to remove it due to the significant impact associated with introducing the read-role in a team. New Teams categories can no longer be configured with the Read-role option. However, existing Teams categories that are already set up with the Read-role will continue to support it.

Product Backlog Item 92341: MS Teams import – Improved performance to fetch teams list to import
The process of importing teams into PortalTalk has been enhanced. Previously, obtaining the import list took considerable time and the number of items retrieved was insufficient, resulting in slow performance. These issues have now been resolved, ensuring PortalTalk Admins experience improved efficiency when importing teams.

Product Backlog Item 90709: [Teams Import] only allowed on supported Workspace Types
When importing teams to PortalTalk, you need to set a category and workspace type for each team. Previously, unsupported External Invite statuses were auto hidden; now, all categories and workspace types are shown, with unsupported options greyed out for each team.

Product Backlog Item 93467: [Archive} teams UI and PortalTalk Archive should do the same action
PortalTalk offers an advanced archive function for teams, which can also be initiated from the Teams UI. Now, we provide comprehensive PortalTalk archive features when initiated from the MS Teams UI, ensuring the same level of archiving as from the PortalTalk UI itself.

When a team is unarchived using either the PortalTalk UI or the Teams UI, the full range of PortalTalk Unarchive functions will also be provided.

Product Backlog Item 87224: Notice that it’s not allowed to use Owner as name for permission
At PortalTalk Admin Center, naming a site permission as 'Owner' is not supported by SharePoint. Therefore, 'Owner' has been made a forbidden permission name. A message will show you the error.


Sneak preview

Maybe you noticed a small set of new and enhanced features for this release. You are right. We worked on two big new features that will be delivered for release version 2.13.

The PortalTalk provisioning blocks, a completely new function to build workspace provisioning based on configurable blocks. This means, as PortalTalk Administrator you can build and maintain your own workspace provisioning. It’s built as part of the PortalTalk Admin Portal.  It’s a big module to build. So, we need two releases to deliver to you.

The next release will include PortalTalk Governance Assistance, featuring the first implementation of PortalTalk AI—a conversational bot in the Admin Portal. You can ask any governance-related questions, and PortalTalk will use your data, including reports, analytics, and KPIs, to provide answers.

The agent is already active at our lab; our current task is to ensure he receives a proper education. So, Governance Assistance is attending AI school to learn. We expect to deliver to you next release.


Release 2.12.2

This maintenance solved an issue connected to the new MS Teams create flow. If Azure Function provisioning is involved, the message is not sent to the queue. This is solved with this release.

The 2.12 release caused problems with rarely used classic SharePoint functions, which have now been fixed for supported customers. Customers have already been notified these functions reach end of life.

New MS Teams controlled members

This new function advances managed team workspaces by offering greater control over requests, approvals, and member usage. Workspace Controlled Member Services (WCMS) allow only designated users to request a workspace and propose members from a limited group. Approval is always handled by specific owners, who confirm both workspace creation and membership.

For example, a student can request a project workspace with classmates, requiring teacher approval. This process suits any scenario needing restricted membership and closed approval.

We are upgrading PortalTalk’s MS Teams workspace create and manage flows using the latest Microsoft Graph APIs. This will enable faster, more secure, and efficient team management.

All requesting and approval teams workspaces are rebuild for the browser and MS Teams app. The Sites Web Part still uses the current flow.

Product Backlog Item 89704: MS Teams new flow: Directly add/remove/manage Owners/Members

The updated Graph API workflow enables direct addition, removal, and management of Owners and Members within teams workspaces. As a result, users added to a team by PortalTalk are now immediately visible, eliminating the previous five-minute delay.

Product Backlog Item 86758: [Admin] Reports - Workspaces - Add column 'Storage size (GB) in filter dialog
New column and filter added to the Workspaces report. The storage size of workspace is visible now and can also be sorted. The column should be added manually to your own created view.

The Sites & Member web part now features a transparent background rather than solid white, due to Microsoft's updated SharePoint page design.

Bugs resolved

Bug 90899: Opening the user manuals from the browser open more quickly now

Previously, accessing the PortalTalk user manuals through the browser was slow. This problem has now been fixed, and the manuals will open much faster.

 

Changes to consent permissions

This explains when new permissions require global admin reconsent for new functions to operate properly.

An additional consent permission is NOT needed for this new release.

 

Updates to the MS Teams app

There will be NO update to the PortalTalk MS Teams app. So, you can still use your current 2.8 (2.8.1/2.8.2) version of the PortalTalk MS Teams app. 

Talking about the Microsoft App store. PortalTalk is in the app store now. This means for a next release the updated app is in the app store. You can directly update the new version from the Microsoft store. If needed for a future release, we will notify you and explain how to easily update to the new version.


Updates to the PortalTalk SharePoint Web Part

There is an extensive update to the PortalTalk Web Parts for this release. So, an UPDATE is needed for this release. Please follow these instructions ‘Update PortalTalk Web Parts’ to update.

This is not needed if you do not use the SharePoint Web Part integrations in your SharePoint environment.


Release 2.10.3

Enhancements of current functionality

After launching Managed Members Workspaces Services (WMMS) in 2.10, we received customer feedback and decided to address it through PortalTalk directly as service to all our customers.

Product Backlog Item 93685: Managed Workspaces: Users added as Owners instead of members

For specific cases Users should be added as Owners instead of Members. This is configurable now at the Create Job screen.

Product Backlog Item 93689: Managed Workspaces: Owners may not manage the teams manually

Managed team owners cannot manage their teams, so the Action menu should be inaccessible to them.

Product Backlog Item 93686: Managed Workspace: System owner may not be removed

The PortalTalk System Owner cannot be removed from the Manage team workspaces, because this is a system user used for other processes.


Release 2.10.2

Maintenance release 2.10.2 introduced tracking pointers in PortalTalk to monitor the usage of specific functions by our customers. This helps us identify which features are popular and which are less frequently used, guiding our future development priorities. As a result, we can decide whether to enhance or remove certain features, leading to a more user-friendly and targeted application tailored to our customers' needs.

We respect your privacy. The data we collect is never traced back to individual users. We only gather generic information about how users interact with specific PortalTalk features, analyzing usage over defined periods.

This maintenance release solves minor bugs after the 2.10 release.

Bug 93014: PortalTalk consent runs slowly

New consent took more than 2 minutes to complete. This process is completed much faster now and shows a performance which a user may expect.

Bug 92802: User Start page: double scroll bar shown when displaying consent banner

While the Consent dialog bar is shown on top of the page PortalTalk admin, a double scroll bar is shown at the left side. This is solved now.

Bug 93098: Classic Categories: Manage Members of a PortalTalk old categories throw an error

The classic old categories (Department, Projects, Community) of PortalTalk had issues to manage the workspace by the action menu of a workspace. So, Owner could not manage the workspace. This is solved.

Bug 92808: [Categories: At User App, external user access is not shown correctly in workspace type

The Manage Workspace type overview screen was showing the External status of the Workspace Types not correctly. This is solved now.


Release 2.10

This new release contains two big changes. First, a completely reworked Access Review process. Not the functionality itself, but we added additional checks and controls to inform you as a user what is going on during the Access Review process.

The second main function is the already often requested support for Microsoft Information Protection (MIP) security labels to control external access and sharing for SharePoint team sites and MS Teams team workspaces.

 

General New functions

Product Backlog Item 86993:  function to use External Invite control by MIP sensitivity

PortalTalk already supported granular external invite settings for MS Teams. Microsoft only have the option to support this by MIP labels. PortalTalk also support MIP labels know, next to the MIP label function. So, you can still choose. MIP labels can be set for teams workspace at the PortalTalk Workspace Type level.

 

Improving existing features

Feature 78402: [Access Review] Redesigned Shared Documents Retrieval Functions

Fetching documents during Access Review is a core task in PortalTalk, especially when large quantities are involved. Starting with this release, users will gain clear insight into the limits of PortalTalk Access Review. These limits reflect not just technical boundaries, but also what is realistically manageable for a person.

So, the maximum number to be processed by the Access review  is 40.000 documents. The maximum nr. of Shared Document we will show you is 75. It’s not logical to show you a larger list. It’s not only you who cannot process it, it’s also de system who cannot shows it quickly to you. If you hit a limit, the Access Review  will warn you with a pop-up screen to give you proper explanation and the option to ask assistance.

We know your time is valuable and everything should be done quickly. From now on, we will start measuring the time you take to complete the Access Review process for a workspace. If this is less than 10 seconds, we will politely ask you to redo it, with a bit more attention.

To praise and compare, we show you the new Access Review performance as the new closure screen. We compare your performance against the organization for the last 30 days.

Product Backlog Item 87080: [Access Review] Suggest Members to remove if not used for longer time

A new 'Suggestion' button will appear on the Members, Roles, and Shared Documents screen. Clicking it shows items unused for the past 60 days, which you may consider removing during your Access review.

 

Product Backlog Item 67548: Improve and standardize the behavior of the Reports/Overview views

The reports and overviews in the PortalTalk Admin center are all redesigned. They look slightly different and more modern, because of the lastet Microsoft design library Fluent UI v9. Every start view of a list will show well formatted columns. The width of the columns can be freely set as you like to see them.

Product Backlog Item 84281: [Customer API] Import existing Teamsite(Site Collection) sites

Importing teamsite (Sub-sites) by the PortalTalk Customer API was already available. For this release, we will add the ability to also import teamsite(Site Collections)

Product Backlog Item 80948: Import MS Teams - Improve performance with large number of teams

The performance of fetching the list of not registered teams to PortalTalk is improved. So, even large lists of teams can be imported quickly.

Bug 84582: Admin center: Exchange Online mailbox user settings is not saved

Bug 90899: Open the online manual from the browser UI took too much time
Opening the online PortalTalk the manual in the browser UI took too much time. This is improved now and will open instantly.

Changes to consent permissions

This will explain if new permissions are needed and a reconsent should be executed by the global admin to let new functions work correctly.

 

A additional consent permission is needed for the new MIP label support of this release. This gives PortalTalk access to the configured MIP labels, to show them in PortalTalk.

Release 2.9

PortalTalk 2.9 introduces automated managed member services for adding and maintaining users in team workspaces, ideal for schools and departmental collaboration. This update also includes new integration options for the Customers API, a new Partner API, and the long-awaited Power BI connector.

General New functions

Product Backlog Item 80579:  New service to automatically add and maintain users to a team workspace

A new feature, WMMS (Workspace Manager Member Service), will enable managed member membership in PortalTalk. WMMS links an Entra ID security group to a team workspace, automatically creating the workspace and adding all group users as members during the initial job run.

After this initial start, the team workspace memberships will be updated daily, by the status of the Entra ID group. Changes of users added or removed from the group, are synchronized to the teams workspace by the WMMS service. The Entra ID groups can be updated manually by an admin, maintained by a Entra ID dynamic group or even connected to an Identity & Access management application.

Product Backlog Item 67093: Power BI connector to connect to all PortalTalk report data available.

To build custom reports and dashboards a new PortalTalk Power BI connector is added to this release. The data of the four main reports of PortalTalk can be fetched trough the Power BI connector and used to build you own dashboards. The connector file itself and instructions how to use, is available at the ‘Technical Resources’ section of the PortalTalk online manual.

Product Backlog Item 83794: [Customer API] Add an API method to export the Reports

This release full of new connectivity also deliver four API methods of the PortalTalk Customer API. Customer can use this API to get the PortalTalk report data out of the application to add it to corporate compliance and governance frameworks as a subset of information. Technical instructions how to use, is also available at the ‘Technical Resources’ section of the PortalTalk online manual.

Product Backlog Item 80156: [Customer API] Add an method to unregister a team workspace from PortalTalk

The last Customer API enhancement of this release is for the automated unregister workspace function. To be used in scenario’s for compliancy, to give control from PortalTalk to an external process.  After this action, PortalTalk is no longer managing the workspace.

Product Backlog Item 82835: [Partner API] Deliver PortalTalk data to connected external partner API’s

A new partner connector has been provided to our first development partner, Synigo. This connector enables PortalTalk features to be integrated securely into partners' applications. Customers need both PortalTalk and the partner's app. Currently, Synigo is using the connector with their Portal application, Pulse.

More integration with other partners are expected for future releases.


Product Backlog Item 84837:  Be able to show or get logged on user's time zone for several services

The Admin center holds a new setting to set the time zone of PortalTalk for the specific customer. This is used to display time/day report information in the correct local time zone.

Before using this general setting, PortalTalk will first check the time zone setting of the logged on user. If this user is holding a MS365 license, this general setting will be used.

Product Backlog Item 84284: Set the first standard channel name for teams workspace

A enhancement by MS Team during the creations of new team, is the function to name the first channel of the team by the creator,  instead of the default name ‘General’

In PortalTalk we can control this process now, by setting a default first channel name at Category, Workspace Type settings. This will give the option to set the first channel name in correct context .

Product Backlog Item 81892: Solve issue to change Owner when Min./Max. Owners is set to the same value

The Min./Max. Owner setting is to protect too much Owners in a team workspace. If the Min./Max. is set equal, for instance Max=2 and Min=2, an Owner is not able to transfer his Owner role to a Member in the team. This is solved now by introducing an additional screen in the case this is happening.

Bug 83571: 'New Release' message is incorrectly displayed on the My Workspace screen

The 'New Release' message, which appeared for two weeks following a new release, contained a minor user interface issue on the 'My Workspace' screen above the displayed workspace boards. This issue has now been resolved.

Bug 86243: Teams workspace will not be imported while the sensitivity of the team is 'Hidden Membership'

The ‘ Hidden Membership’ privacy setting of a team workspace is only used by an Educational tenant. PortalTalk was not aware of the setting, making it impossible to auto import teams on an Educational tenant. This is solved now.

Bug 86263: Access Permissions report - Users with Member role are not shown in the report

The Access Permissions was not showing users with the Member role in teams workspace. This is fixed now.

Release 2.8

The most impressive new functionality is the completely automated onboarding and start configuration of PortalTalk. PortalTalk for MS Teams provides a self-service onboarding process. The internal PortalTalk Admin Portal (PTAP) additionally offers automatic onboarding and offboarding functionality.

We also build the first PortalTalk educational function. Import class teams into PortalTalk in connection with the Microsoft School Data Sync service. A specific service from Microsoft in combination with the Microsoft 365 Educational tenant. In the future, QS solutions will deliver more educations integrations to PortalTalk.

Als always, we listen carefully to our customers. So, we added new and enhanced functionality. Most of the improved functions are based on customer feedback. Finally, known bugs were also solved. Also, with the help of our customers.

Auto on- and offboarding PortalTalk
The PortalTalk for MS Teams delivers a ‘do it yourself’ onboarding, which start at the Microsoft Teams store by installing the PortalTalk app into you MS Teams. Just some easy actions and PortalTalk is up and running, including first configuration.

For internal use only, we automated on- and offboarding by the PortalTalk Admin Portal, aka PTAP. If the new customer is registered by the PTAP form, the onboarding will be done fully automated. That can also include the Azure Function configuration. Off-boarding is also automated. Customer connection, registration and database are deleted automatically.

Product Backlog Item 77994: [Class teams] MS Teams category to support Auto Import Class teams

This is the first of PortalTalk’s educational support functions as part of the exploring new markets initiative. This function works together with the Microsoft School Data Sync (SDS), which create teams and their members automatically for classes. PortalTalk can import these class teams automatically to an assigned category. So, your personal classes, as teacher or student, are nicely shown at the PortalTalk Workspace.

Now we import class teams triggered by the Microsoft SDS, we also made the Auto Import function aware of this. So, the two import streams work well together.

For customers who have not switched on the new analytic functions, from this release it’s switched on by default. That means, you as a customer can configure analytic completely by yourself.

This one is back from the old classic PortalTalk UI. In the Admin Center, the most recent consent date is displayed to a PortalTalk Administrator. Additionally, there is a button to restart the consent process to review or update the latest permission changes for PortalTalk in your tenant.

To explain the optional metadata fields added to a category, we added descriptive help text fields and make these visible to the users.

Lack of performance to show large lists of workspaces in the Reports and Overview screens, made us to improve the handling of MS Teams channels better, which improved the performance significantly.

Bug 79651: [Web Part] label text is shown correctly on Member web part

The text of the Member Web Part as a workspace access review is overdue, was not shown correctly. This is solved for this release.

Bug 78464: MS Teams apps clicking the SharePoint icon tries to open MS Teams channel

If you clicked the SharePoint icon of an MS Teams workspace, the MS Teams channel was opened. This was incorrect behavior. Now, the SharePoint site is opened again in a browser session.

Bug 78904: Approve requested workspace - Admin was not able to approve workspace
As part of the Admin Center, the PortalTalk Administrator is able to approve or request workspaces by the Overview screen. This was not working anymore and is fixed for this release.

Bug 79496: Access Review - Access Review start screen can be opened by any user
Although the link to the Access Review screen was hidden, a member who knew the URL was able to open the Access Review screen. This is not correct behavior. So, fixed for this release.

Bug 81994: Access Review - Shared Documents - UI selects 2 documents while only one selected

During the Access Review process of Shared Documents when a document is clicked, sometime more than one documents becomes selected. This bug only occurred when more than one document library was part of a SharePoint site workspace. This bug is resolved now.

Bug 80758: [User Notification] Too Much Shared documents - User cannot unshare a document

The User notification to show the number of shared documents also gives the option to unshare a document. This function was not working, the document keeps shared. This issue is fixed now.

This will explain if new permissions are needed and a reconsent should be executed by the global admin to let new functions work correctly.


We need additional permission to make a user unshare documents as part of the notification ‘Too much shared documents. So, a reconsent is needed.

 

Updates to the MS Teams app

There will be an update to the PortalTalk MS Teams app. So, you need to update the latest PortalTalk MS Teams app version 2.8. You can download it at our download center.

This will be the latest version you should install from our help center. The auto onboarding features of this release will also bring the PortalTalk app to the Microsoft MS Teams store. Upcoming releases can be updated directly from the MS Teams store. We will keep you updated when available.



Release 2.7.1

This release focuses on improvements on the ‘Incorrect deleted’ workspaces registration and solves issues in the Access Review Shared documents process.

Bugs resolved

Bug 70539: PortalTalk workspaces are incorrectly transformed to the status 'Incorrect Deleted'

Although this only happens rarely, this one is the main reason for this maintenance release. We improved and changed several processes to solve this issue. First, it happens when the URL of a SharePoint site has been changed. PortalTalk still uses the old URL in that case. We changed that process and will use the latest URL to check. It also can happen when the SharePoint instance of customers is too busy when we do the ‘incorrect deleted’ check. This is because of the throttling behavior of the SharePoint Online services. We solved this one to make this ‘Incorrect deleted’ process aware of the throttling behavior.

Bug 78664: Access Review Shared Documents check will fail

If the number of documents on a site are too high (more than 5.000) it doesn’t show any Shared Documents at all. We improved the service to set the maximum number of documents to check to 40.000.

Bug 78401: Access Review - Not the correct number of shared documents are shown in the Access Review

This issue is connected to the other Access Review bug. Not only is the number of documents too check improved, also the number of Shared Documents to retrieve is much higher and faster. This by using a much faster process to check the number of Shared Documents.  

Bug 74663:  Sometimes the Admin Center ‘Report External user’ will not load

This issue only happens to some customers. We found the root cause and solved it for this release.

Bug 77103: In some cases, the PortalTalk Web UI will not load in the browser

This had something to do with the friendly URL we present to every customer. The PortalTalk main URL was still working. We solved this issue now and friendly URL can be used again.


Release 2.7

In this 2024 summer release, we extend the PortalTalk Analytic functions. We already released the  first version of the Workspace Analytics in release 2.5. Now we release an additional set 6 KPI boards for the Users and External Users. Also, we added 2 additional User Notification KPI’s.

The governance function to handle the correct nr. of Owners in a team workspace is part of this release. Not only for new created teams, but also manage the correct nr. of Owners for existing workspaces.

And, of course, a lot of improvements and enhancements based on customer feedback and new insights to improve PortalTalk even more.


New Analytic functions

Product Backlog Item 66437:  Analysis KPI board - External users - External users statistics

Gives insight in the current active/inactive external users. Second KPI boards shows the number of workspaces were external users are invited.

Product Backlog Item 66435: Analysis KPI board - Users - Active/Inactive users

How many of your licensed uses are active. How many licenses are really in use. How many inactive users still have licenses assigned. These KPI boards will give you the answers.

Product Backlog Item 75735: Analysis KPI board -  Max/Min. users per workspace

Workspaces should hold a fair amount of users. There should not be too much or too less users. This KPI gives insight in the number of users in workspaces.

Product Backlog Item 66434: Analysis KPI board - More than 1 or 2 owners

Too much Owners on a workspace is a bad practice. Difficult to maintain Ownership. This KPI gives insight in the population of your Owners in the workspaces.

No Owner on workspaces is a bad practice. This KPI will give insight in the number of workspaces with no owner(s).

Product Backlog Item 66448: User MS Teams Activity - Number of channels is too high

Owners of team workspaces were the number of channels it too high are receiving this User Activity  It will help them to balance to correct and fair amount of channels in a team workspace.

Product Backlog Item 66445: User MS Teams Activity - Workspace is getting to big

When a workspace becomes too big, this user activity will warn the Owner if it. This starts at the level of 20GB. Modern workspaces are meant to be small and flexible. That’s why we monitor on the number of channels and amount of storage in a team workspaces.

A new setting in de Admin Center controls the min./max. number of Owners of a team workspace. Default values is min. 2 and max. 2 Owners. By default the setting is off and should be manually put to on to use the Min./Max. Owners service.

On a Request or Create teams workspace action, the correct nr. of Owners is controlled before the request can be transmitted. You should set the nr. of Owners according to the policy before you can continue. Messages are displayed to guide you.

Product Backlog Item 72728: Min/Max Owners – Owners check if Adding or Removing members is in limit

If an Owners make changes to the number of Owners in an existing team, the limits should be controlled. This PBI takes care of it.

Product Backlog Item 72729: Min/Max Owners - Access Review should be aware of Min/Max Owners

If an Owner should do the Access Review, the correct nr. of owners in limit of the policy will be checked. The Owner should change according to the guiding messages, before the Access Review can be done.

If an PortalTalk Admin imports existing teams to PortalTalk, the correct number of Owners is also checked, Error is shown if not correct for specific team workspaces.

If the PortalTalk customer API is used for importing teams, it will also throw an error message if the nr. of Owners is not in limit.

If the detection of the nr. of Owners is too low during the Access Review, it will warn and guide the Owner to correct to the nr. of Owners to become in limit.

The Admin has access to an interface in the ‘Workspace Owners’ UI to set the correct number of Owners in incorrect team workspaces.

If a Member request the Owner role of a team, it can exceed the limit of Owners. A warning will be displayed and the request can not proceed.

Product Backlog Item 75890: Admin Center- Analytic - Admin KPI boards - Animate main menu

The Admin center main menu is animated for the 3 available sub-levels of the Analytic sections  Workspaces, Users and External Users.

Product Backlog Item 76291: Admin Center- Analytic - sub-menu only shown if analytic section is turned ON

If a analytic section is turned OFF or all KPI’s of that section are turned OFF, the sub-menu will not be shown.


Product Backlog Item 66453: Admin Center-  extra role 'PortalTalk Report Admin'

We’ve added an extra PortalTalk Admin tole , Report Admin. This will only give a user with that role access to the reports and Admin analytic KPI Boards.

Most of the PortalTalk Overview and Report pages contain KPI boards on top of the list view. When you start to scroll down in a long list, the bar of KPI’s will fade out. Full screen becomes available to your report data.

In the past, a Team template should be added by its GUID ID. In this release we were able to show a dropdown menu were available Team templates can be chosen.

Product Backlog Item 75149: Access Review -  basic responsive behavior to the Access Review Wizard UI

The responsive behavior of the Access Review summary screen is improved. On low resolution screens you are still able to push the Execute button.


Enhancement to current functions

Product Backlog Item 74567: Remove high level permission consent AppRoleAssignment

The AppRoleAssignment.ReadWrite is removed from the consent permission.

This permission can be used for assigning permissions to other applications than PortalTalk,  because of the consent permission mechanism of Microsoft. We decided to remove this consent from PortalTalk, and designed a more safe method to distribute PortalTalk’s own admin role permissions.

Product Backlog Item 76190 Added  Workspace Type also for teamsite(site collection) category

The Workspace Type function as part of the PortalTalk categories, is also added now to the teamsite(site collection) category type.

Product Backlog Item 74986: Admin Center - Add Export List button to all Analytic KPI boards

Some of the KPI boards did not had the ‘Export to Excel’ button. We added them for this release.

Product Backlog Item 75150: Admin Center – Removed passwords for all System account

PortalTalk still needs a system account for 3 functions. Passwords registration for them is not needed anymore. So, we do not request and store the password for this account. It is still needed because some services should have an account registered. For these actions we will use the system account only.

Product Backlog Item 74607: Add Category and Workspace Type names at Approval screen

To make it more clear to an Approver of a Workspace request, we’ve added  the Category name and Workspace Type name to the top of the Approval screen.


Bugs resolved

Bug 74304: Approve/ Request workspace - Requester can use the link to handle the requested workspace

The requester was able to use the Request workspace Url directly to approve a workspace themselves. This is solved now. Authentication of an Approval account is needed to open this screen.

Bug 74878: MS Teams activities - PT screen used in PT Teams activities should be responsive

The responsive behavior of the user activity screen was not correct. We changed for this release and deliver a perfect responsive screen now.

Bug 74562: User interface - Set or Change of Icon picture is not set to team workspace
On old problem faced up again. The icon set for a MS Teams workspace was not visible in the MS Teams UI itself. We made improvements now to make it better. Still not 100%. We have to wait for improvements from Microsoft to give you the best results. Will be continued…

Bug 74942: User interface - Small icon is not correctly aligned on the Workspace 'Edit' screen
In the PortalTalk workspace edit screen the small icon of the workspace was not aligned correctly. Now it is.

Bug 74327: User interface - UI overlay issue shows up when Owners avatars and Channel navigation

We had a small glitch in the UI of a workspace board. The icons for the owner were shown at a complete wrong location on the screen. This is solved for this release.

Bug 75968: User interface - MS Team template is not applied after Creating a new MS Team

The connected Microsoft Team template to a Category’s Workspace Type was not applied. We fixed this for now.

Bug 75226: Sites Web Part - Need to reload 3 times to load to show the SharePoint site in the Web Part

Some customers were facing this problem. We fixed it for this release.

 

Known Issues

KI-12:  Set a custom or category icon during Create or Request process for a MS Teams, the icon will not become visible in the MS Teams UI if created from the Web UI or Sites Web Part. It is still visible in the PortalTalk app and the connected SharePoint site, but not in the MS Teams app UI. User is still be to manual update the icon of the Teams workspace from within the MS Teams UI.  

It will work correctly when MS Teams workspace is created or requested with PortalTalk app in MS Teams. This is the most common way to create or request a new teams workspace.


Changes to consent permissions

For this release, PortalTalk does need changed permissions. So, a consent is needed.

Bug 76161: External user can open the access review page

An external user was able to open the Access Review page by clicking on the owner icon off the workspace board. That behavior is removed. So, the external user is not able to start the Access Review

Bug 76168:  Admin Center - Invite by ‘AAD method failed

Inviting a external user by the AAD method failed, this one is fixed.

Bug 75488: Admin Center – Missing some report pages for the Security Office role

The Admin center role: security officers missed some report pages. This is resolved now, so there is access to the Access Review and Access Permissions report.

Bug 75201: Can not navigate to  access review start screen while clicking Owner icon

This function is restored again.

Bug 75592: Admin Center - Search sort and filter,  and export to Excel not working

The ‘Search and filter'  and ‘Export to Excel’  function were not working for the Access Permissions report. This function is restored again.

Bug 76287: Add member to MS Teams is not working in Tenant with for '2049 group support' to ON

This was not working because of disabled sync engine to the Microsoft 365 groups. So, members were not shown in de MS Teams UI itself. The status of the sync service for M365 groups is restored now.

Bug 75865: [Sites Web Part] Can not create MS Teams or SharePoint workspace

Not possible to create workspaces from the SharePoint Sites Web Part. This because of changes to the ‘Workspace Type’ functionality. This is restored now.

Bug 76186: Invite external user by 'Create AAD’ option, the sign-in name cannot be entered.

There was a problem in de e-mail setup field causing this problem. Issue is fixed now.

 

Release 2.6

This is a compact release with only a few new and enhanced function. Main new function is the option to manage the Request/Approve/Create workspace in a more detailed configuration. Instead of controlling the settings on ‘Category’ level, now it’s possible to control on ‘Workspace Type’ level.

2.5 was the big release for Analytic services. We already had some first feedback from customers. Some of this feedback is already reworked as enhancements in this release. And last but not least, some bugs are solved which will be outlined here.

New functions
Product Backlog Item 71949: Create/Request Workspace moved to the Workspace Type settings

Request from large customers showed us the need for a more detailed setup of managing the Create/Request Workspaces. So, we moved these setting from the Category screen to the Category -> Workspace Type screen. This will make it possible to configure a unique Create/Request setup per Workspace Type. It introduces multiple options of  Create/Request configurations per Category.

In this release, we will convert the current Category setup automatically to the new Workspace Type setup. After this release, you will find these setting in the new ‘Workspace Type’ configuration.

 

Product Backlog Item 72663: Create/Request setting, instead of Groups, also Users can be added

It’s also possible to add Users to the Create/Request setting now. So, you can mix-up both Groups and Users in the same setting.

We also convert the existing User Create permissions of the PortalTalk Classic UI configuration to the new one. Maintaining User Create permissions at the Classic UI is not longer supported.

 

Enhancement to current functions

Product Backlog Item 74148: Similar Workspaces services only checks the Workspace Category

The Analytic KPI Board ‘Duplicated Workspaces Suspects’ checked al workspace names against all other names. Now we limit the check to the boundaries of the Category the workspace is part of. This will give an identical experience and results as used for the Create/Request workspace similarity check.

Product Backlog Item 71947: Metadata field 'Choice' shows alphabetic values and is searchable

If a large list of values is configured for a ‘Choice’ metadata field, it becomes difficult to select the correct one. First improvement, we show the list in alphabetical order. Second, we make the value list searchable.

Product Backlog Item 74124: Customer API extended to Add and Remove a SharePoint Role

The PortalTalk Customer API to control roles of PortalTalk managed SharePoint sites, is extended with extra functions to Add and Remove roles.

Product Backlog Item 74123: Added ‘Workspace Type’ placeholder to specific e-mail templates

In the Workspace Request, Approve and Reject e-mail, the ‘Workspace Type’ placeholder shows the exact Category and Workspace Type location of a workspace.

Bug 74128:  Workspace type value is not shown fully in the dropdown list for Workspace report

Bug 74318: Next scroll down list of data is not loaded for Workspace overview

Only the Workspace overview was affected. This is fixed.

Bug 74309:  Not able to open the send email templates Admin page

When (Classic) Admin page ‘Email templates’ was opened, the page generated an error message. It was not possible to use this ‘Email templates’  functions. This is fixed and Email templates can be managed again.

Bug 74046: Showing the navigation channels list of a team workspace is really slow

After 2.5 release, showing the navigation list at the moment a team board was clicked, it took too long to display the list of Channels. This I fixed and Channel list is shown rapidly again.

Bug 74239: Can not get list of channel after archive MS Team

When a team was archived and was moved to the Archive section of a category, it was not possible to get the list of Channels anymore. This making it impossible to navigate the archived team. Due to changes of Microsoft in the Archive functionality of MS Teams, a fix was needed and operation is restored. It can take some time now before the Archived team is shown in the Category Archive section. This is due to the Microsoft Archive process change.

 

Bug 71836: In some cases SharePoint Role not removed after End date was due

A SharePoint User Role can be assigned by an End Date and the role should be automatically removed. In some specific scenarios the assigned Role was not removed at the End Date. In this release this is fixed.

Changes to consent permissions

For this release, PortalTalk does NOT need new permissions. So, a consent is not needed.

There will be NO  update to the PortalTalk MS Teams app. So, you could continue to use the latest PortalTalk MS Teams app version 2.5.


Release 2.5

It’s time now to release the new PortalTalk Analytic services for End-users and PortalTalk Administrators. We will deliver 8 KPI boards for Workspaces analytics and 4 User Analytic Activities, In future releases, we will add additional KPI’s for other analytic categories, like Users, External Users and Content.

We want to introduce the Analytic services well to you.  By default the service is switched off for your tenant. We want to help you to enable the service correctly, so we will contact you to make an appointment.

Beside this big analytic function release, we even deliver more. The new suspect duplicate workspace function to prevent  ‘team-sprawl’ of identical team workspaces. And much more new and updated functions.

New Admin Analytic KPI boards

Product Backlog Item 63969: 1) Admin Analytic KPI on Average Number of Workspaces per user
This KPI will show the average number of workspaces per user. This to control if your organization do not have too much workspaces in use and end-users can still handle the number of workspaces they work on daily.  An action button  is provided to let you archive not used workspaces.

Product Backlog Item 63970: 2) Admin Analytic KPI on Active/Inactive/Archived Workspaces
Shows the Active/Inactive/Archived Workspaces ratio. The percentage of Active compare to Inactive workspace is shown in red, yellow or green color to show your KPI score, as for all Analytic KPI boards. The action button will show you a list of least used and inactive workspaces.

Product Backlog Item 66431: 3) Admin Analytic KPI on Workspaces with Nr. of Private Channels
Shows the Percentage of Private channels used in all your active team workspaces. Too much Private channels in teams workspace is behavior we want to prevent. Users are hiding information for team members. To make information accessible to them all, the number of public channels should be high and KPI will show up in Green color.

Product Backlog Item 66430: 4) Admin Analytic KPI on Workspace with Low/High Nr. of channels
The use of channels is to divide information in a team workspace. Our practice learned that the optimal number of channels is 2 to 6. This KPI will show you the percentage of active teams in this 2 to 6 channels limit. The board will give you more information about teams not in de 2 to 6 channel limits.

Product Backlog Item 66429: 5) Admin Analytic KPI on Workspaces not registered to PortalTalk
Your organizations uses PortalTalk. So, all team workspaces should be managed by PortalTalk. This KPI will check if this is the case. It shows you the number of not registered workspaces to PortalTalk.  Also the option to list and export of these team workspaces. You can use the PortalTalk import function to register them.

 

Product Backlog Item 66427: 6) Admin Analytic KPI on Ratio of Public Workspaces
How open is your organization. This KPI shows the percentage of Public Workspaces compared to the Private ones. It’s up to you to judge this KPI. We think working in a MS Teams environment will reflect the modern way of collaboration. Access to information as much as possible for every user in the organization. Let see if this KPI reflects your expectations on this.

Product Backlog Item 66432: 7) Admin Analytic KPI on Workspaces with high or low storage
Modern work exists of working in a balanced set of workspaces. Too less data in many workspaces in general means inactivity and lack of overview. Just a few workspaces with high storage looks more like your old department file share and stops you from flexible collaboration. This KPI gives you insight into the organizational behavior of your users.

Product Backlog Item 66428: 8) Admin Analytic KPI on Duplicate workspaces suspects
As already mentioned the duplicate workspace check on Request/Create a workspace gives the user direct assistance when creating workspaces. This Admin KPI gives you insight into the general status of already created workspaces with possible duplicates. An action button gives insight into the suspected workspaces.

Product Backlog Item 68870: Admin settings for Admin Analytic – Analytic boards KPI settings
All Admin Analytic KPI boards are adjustable. We loaded them all with our best practice values and urge you to first start with these values. But, it’s up to you to make changes to them. Every KPI value can be changed by the Analytic Admin center, accessible for PortalTalk Admins.

 

New User Analytic KPI activities
All User Analytic functions are presented as MS Teams activities. Only to users with KPI values not in limit. For the none-MS Teams users, they are also shown on the PortalTalk Activity screen. The period to check and trigger these activities can be set by the PortalTalk Admin. We do not want to overflow the end-users by our Analytic activities.

Product Backlog Item 64685: User Analytic Activity - Member of too many workspaces
If a user is member of too many workspaces we will notify by a MS Teams Activity. The user can use the action button to list the least active workspaces and decide to leave this ones.

Product Backlog Item 69284: User Analytic Activity - Workspace has too many owners
A workspace with too many owners is not a good practice. We are sending an activity to the owners if this is the case for their workspace.  The list if Owners is shown with advise to contact the other ones to bring back the number of Owners to 2.


Product Backlog Item 68871: User Analytic Activity - Number of shared documents to high
Sharing documents is good, sharing too much documents is bad. This activity will help users with a high number of shared documents to notice them. A list is shown were user is able to unshare documents to bring them back under the permissions control of the workspace.

Product Backlog Item 63971: User Analytic Activity - Your workspace is not active enough
If a workspace you are Owner of is not active enough, we will notify you. Present you insight in the latest MS Teams post activity, last document activity and last Access Review. You can decide to Archive the workspace.

Product Backlog Item 66446: Admin settings for User Analytic Activity -  activities KPI settings
The same as for the Admin KPI’, the user activities KPI settings can be controlled by the PortalTalk Admins. Same advice to first start with the default values. Best practice of the PortalTalk folks, you know! Please change them to you best fit after you first experiences

Beside the new Analytic services, we also found time to add additional new functions, ready to present to you.

Product Backlog Item 68864: Create/Request workspace Suspected Duplicate function
To prevent ‘team-sprawl’ this new Suspected Duplicate function will check on Create/Request workspace if the provided workspace name has any resemblance with already existenting ones.  We are using several synonym dictionaries to check. If so, we present these workspaces and their owners to the Creator/Requestor with the option to contact the owners of the suspected workspace for further consultation. At the end, it’s still up to the Creator/Requester to start the creation of the workspace.

Product Backlog Item 60478: Show icons on board for Public/Private and Guest Allowed/Not allowed
We extended the Workspace board with a drawer to show additional information. The board itself already shows more than enough information. That’s why we designed the drawer, opened as you hoover the board with your mouse. We show you the Public/Private and Guest Allowed/Not allowed statuses of the workspace. As you may notice, we have some space left on the drawer for future extensions.

Product Backlog Item 69277: Rename workspace in team or site workspace also in PortalTalk
Of course you use the PortalTalk app to work with your workspaces. If a user renames a workspace directly in the MS Teams UI, the change will be noticed by PortalTalk and process that change also.

 

Enhancement to current functions

Product Backlog Item 53636: Extend Join workspace process with navigation to channel ‘general’
If a user joins a public team workspace by the PortalTalk Public function, the user will be directed automatically to the teams ‘general’ channel.

Product Backlog Item 68817: Admin center - Remove existing OAG role of a SharePoint category
SharePoint sites uses Organizational Access Group(OAG)  settings. An Entra ID group setting which controls the users who will get public access to the site. For this release the group can be removed from the setting. This will turnback all assigned public access permissions to all sites in the category.

Product Backlog Item 65671: Access Review -Improvements to the Shared Document review
The Access Review wizard shared document overview will show also the folder icon if the shared resource is a folder.

Product Backlog Item 71615: Owner(s) cannot 'Edit' workspace settings
An extra governance function to control changes to the workspace settings and metadata as soon as the workspace is created. The owner is not able to use the workspace ‘Edit’ function to make changes. This is now under control by the PortalTalk Admins. They are allowed to still make changes by the Admin Workspace overview screen, were a new ‘Edit’ function is added. The lock ‘Edit’ setting can be switched ‘on’ or ‘off’ per category.

Product Backlog Item 66746: Workspaces report new column to show 'Archive source'
The 2.4 release introduced the automatic archive workspace function on inactivity. We added a column to the Admin Workspaces report to show the way the workspace was archived, ‘manual’ or ‘automatic due to inactivity’.

Product Backlog Item 66852: Categories - Teamsite(sub-site) - Site Collection Url to category screen
The category ‘Teamsite(sub-site) still uses a SharePoint Site Collection to hold the sub-sites. Registration of the used Site Collection was still part of the PortalTalk classic UI. In this release we moved this Site Collection Url setting to the category screen. This makes registration much easier and more understandable.

 

Bugs resolved

Bug 67679: Workspace overview & report - Workspace rename is shown in the Overview
Change of the Workspace rename by the Admin Workspace overview screen was not visible in the user Workspace overview screen. This is fixed in this release.

Bug 66568:  Private channel is shown in PortalTalk App for user not the member of that channel
If an user was no member of a private channel, the PortalTalk Workspace overview screen still shows these private channels. Now, the Workspace overview screen only shows the private channels the user is member of.

Bug 67681: If MS Teams team Workspace is edited, incorrect message shown and edit blocked
When team workspace was edited an incorrect message can be shown if external sharing options were not consistent in the Workspace Type settings. This is fixed for this release.

 

Changes to consent permissions

For this release, PortalTalk will need new permissions. So, a consent has to be done by a Global Administrator. There are permission changes needed to support the new analytic functions.

 

Updates to the MS Teams app
There will be an update to the PortalTalk MS Teams app. So, you should download the app package from the PortalTalk Online Manual source and update the app in MS Teams app store of your tenant.


Release 2.4.3

The main reason this maintenance release is introduced, is to support the new MS Teams app. We also take this occasion to introduce additional enhancements and solve minor bugs.

Enhancement to current functions

Product Backlog Item 71318:  User can be added to more than 2.049 AAD groups/ SharePoint sites
The preferred way to assign permissions to SharePoint sites is to use AAD groups to SharePoint groups. PortalTalk supports this way of assigning permissions. There is a Microsoft limit of permissions assigned by a maximum 2.049 AAD to SharePoint groups per user. In large implementations, this limit can be reached. PortalTalk now supports an option to overcome this limit. Support for this is ‘off’ by default. If needed, it can be switched on per customer by a request to the QS solutions service desk.

Product Backlog Item 71512: Extra conformation screen added if auto archive is switched on
The Admin Center setting to handle auto archiving workspaces due to inactivity is enhanced. An extra conformation screen is added to the ‘Auto Archive’ OFF/ON switch. To give the PortalTalk administrator insight in the expected number of workspace to become archived, the number of workspaces is shown. A conformation button should be clicked to confirm the action.

Bug 70672: Links on app buttons changed to support the new MS Teams app correctly
Some PortalTalk MS Teams app buttons and links were not working anymore in the new MS Teams app. This due to change in the MS Teams deep links by Microsoft. These links are changed now according to the new Microsoft standards and working correctly again.

Bug 70316: Change to the PortalTalk MS Teams activities to support the new MS Teams app.
Due to changes in the MS Teams Activities by Microsoft, the MS Teams activities links of PortalTalk actions are not working anymore.  These activities are changed now according to the new Microsoft standards and working correctly again.

Bug 71853: Import MS Team workspaces fail by using PortalTalk customer API
The PortalTalk Customer API Create MS Teams workspaces            function was not working correctly. Workspaces were not created by the API. This problem is solved now.

Changes to consent permissions

Are new permissions needed to consent by the global admin to let new functions of this release work properly.

 

For this release, PortalTalk will need new permissions. So, a consent has to be done by a Global Administrator. There is a minor permission change needed to support the new MS Teams app correctly.

Release 2.4

This release will introduce new functions to measure the activity of workspaces. Or even better, measure the INactivity of workspaces. Inactive workspaces should need more attention, because they will keep the number of workspaces too big to handle. For IT management, but also for the end-users. In this release we connect inactivity to two new functions, auto archiving on inactivity and give the end-users insight into the active/inactive status of joined workspaces.

New functions

Product Backlog Item 65511: Configure nr. of days before workspace becomes marked as inactive
Configurable parameter to set the number of days to classify a workspace as Inactive. This information can be used in several new functions, like Auto Archive workspace or the new analytic services to come.

Product Backlog Item 61550: Auto archive teams workspace when not Active for long time
Team workspace can be automatically archived now, based on the last activity of the workspace. This function will use the new configurable Inactive workspace setting.

Product Backlog Item 63865: Auto archive teams workspace when Access Review is highly overdue
The second auto archive function to add in this release. A team workspace will be archived automatically if the access review is highly overdue.

Product Backlog Item 65213: Auto Archive notification to owner(s)
if a team workspace becomes archived automatically, we will notify the owner(s) of the team by mail and MS Team notification.

Product Backlog Item 65242: Collect data on Latest Activity of workspaces
To get the latest activity data of workspaces, we developed a new core service to deliver that information to functions who needs that data. Some functions, we will deliver in this release, other the upcoming releases.

Product Backlog Item 66039: Added User Manuals for the German language
German language was already supported by the PortalTalk UI. In the release we also add a German user manual. This manual will open automatically in the correct language. For that, it will depend on the language setting of the browser of the MS Teams app.

Product Backlog Item 64669: Workspace can’t be deleted by the MS Teams UI anymore
In PortalTalk an owner is not allowed to delete a MS Teams workspace. The standard MS Teams UI allows an Owner to do. So, in this release we prevent this by undeleting a deleted teams workspace as soon as it becomes deleted by the standard MS Teams UI function.

 

Enhancement to current functions

Product Backlog Item 65669: Access Review wizard order to show Members has been changed
We changed the order of the Access Review member list. On top of this list, it will always start with the external guest users, than the internal users, Of course the functions to change the sorting manually will stay available.

Product Backlog Item 65215: Show Archive source to the Admin ‘Overview - Workspaces screen’
In the release we will introduce the automatic archive of a team workspace. To get insights how a team workspace was archived, we added two additional statuses to the Workspace screen, ‘Manual’ and ‘Auto’.

Product Backlog Item 61556: Added information and instructions to offboard tenant
Of course we are happy with all our onboarded customers. Nevertheless, we should also present you an offboarding procedure when the PortalTalk service is no longer needed. That’s the reason we developed detailed instructions how to offboard a tenant from PortalTalk.

Product Backlog Item 65670: Access Review report default sorting order has been changed
The default view of the Access Review report is changed to get direct insights to the Access Reviews overdue for the longest time.

Product Backlog Item 64091: Add ‘help’ button also to the Admin Center
The ‘help’ button to the PortalTalk help center is also added to the Admin Center

Product Backlog Item 65200: New function to configure warning of created workspaces
The feature to notify workspaces created has been changed. It’s now configurable in the PortalTalk Admin Center.  You can enable or disable the notification service, or choose the number of created workspaces before notifying.  Users can also be added that will be excluded from the alert.

Product Backlog Item 66414: Return the last activity of the logged user for each workspace
Now we have the new Workspace Last Activity service available, we will present this information at several screens. For instance at the ‘Activities -> Workspaces joined’ screen. We will show the user his/her last activity of the workspaces he/she is member of.

Product Backlog Item 64382: Added Option to leave the workspace as member
As extension to the list of Active workspaces, we also show a ‘leave’ button. This will give a user the option to instantly leave a not active workspace. It’s only allowed to leave a workspace as member. To leave a workspace as owner is not allowed.

Product Backlog Item 64906: Changed animation of the Admin Center left menu
To make clear what specific category and section (Me, Public, Archived) is selected, we changed the UI slightly to give you a better visual view.

Product Backlog Item 63974: Setting to not allowed team workspace to move to other category
For compliancy reasons organizations do not allow to move workspaces to other categories and/or workspace types. A new setting at the PortalTalk Admin center can control that behavior now.

 

Bugs resolved

Bug 55799: MS Teams PortalTalk app not shown first time at start of the workday
We investigated the behavior of the PortalTalk MS Teams app why it did not start first time at the beginning of a workday. We found the root cause of it and delivered a fix for it.

Bug 61712: If archived teams workspace is restored, also recover the correct permissions again
During our ongoing testing of the PortalTalk application, we ran into a problem on unarchiving a teams workspace. Not all permissions were brought back correctly. This problem has been resolved.

Bug 63596: If workspace needs Access Review, click to Owners avatar is opening a blank screen
If only the Access Review option is available to the Owner, you can still double click the Owner avatars on a workspace boards. This presents you an empty screen, because the access review should be executed first. To fix this behavior  double click the avatar icon will open the Access Review screen.

Known Issues

KI-11:  If a Microsoft Information Protection security label is set to a SharePoint site or MS Teams team workspaces then the last activity date of that workspace can not be calculated by the PortalTalk last activity service. Functions used by this last activity service , like Auto Archive and Leave workspace,  are not applied to these workspaces.

Release 2.3

Again a release for the PortalTalk Admins. This new release will add almost all other admin functions to the new user experience .

Only a small set of functions are not in the new UI. The Site Collection settings and Email templates are still in old UI. You can still access these screens through the classic UI. Links to them are available in the new admin console.

Instead of the PortalTalk Admin console, a lot of other improved or new functions are delivered. Please find all detailed information here.

New functions - MS Teams Admin Console

The management of Workspaces was already in the new Admin UI. Now, application are also ready for the new experience. Please notice all analytic information we added to both the ‘Overview’ and ‘Report’ screens. A lot of KPI boards are added to give you instant insights of specific topics. Please take a tour to discover these new functions, which will help you to get better daily insights.

Feature 55143: Overview – Applications

The configuration of the applications are also available now in the new UI. New filter functions are added. A new control panel will show you the usage of the applications, how often they are used, presented as a top-5 list.

Feature 55150: Reports - Access Permissions

The Access Permissions report is showing you a set of 5 KPI boards, to give you direct insights of the owner, member and external guests status. Every new report will give you flexible functions. Custom sorting, filtering, views, search and exporting are general available for this and all other reports.

Feature 58863: Reports - Access Review

All report functions as mentioned above are general available to all reports. The Access Review report will add 3 KPI boards, giving you insights of the organizations access review performance. A diagram will show the access review performance over time. The last diagram on the screen will give insight of the Access Review champions. Who are doing the most Access Reviews on time.

Feature 58864: Reports - External Users

Instead of all new standard report functions, this one will add KPI’s to give your insight of the statuses External guest users. How much are active and bind to workspaces, how many are blocked or invited only.

 

Feature 58865: Reports – Workspaces

The workspace report will add 5 additional KPI’s to show you the statuses of the workspaces. Also to workspaces with or without Owners. The last one need special attention. PortalTalk will help you by the Workspace Owners function to assign owners again to the workspace without one.

 

Improve responsive behavior of the PortalTalk

This is one we promised you to deliver. The responsive behavior of the PortalTalk new UI was not implemented yet. In this release we will add support for flexible usage on every screen resolution. From mobile device to ultra-wide screen resolutions.

Product Backlog Item 47032: Improve PortalTalk  to work in the MS Teams mobile app

PortalTalk is working inside the MS Teams mobile app now. Not all functions of PortalTalk are available in the mobile MS Teams app. Mobile working only gives you the need to use relevant functions. These are available for you now.

Product Backlog Item 61234: Workplace - Improve responsive behavior of the workspace screen

PortalTalk is resizing properly now from small to large screens. It will display the exact number of columns who will fit to the current screen or windows size. Even ultra-wide screens are supported well now. You never saw that much workspace boards on a screen before!

Not only the boards are shown correctly on small and large screens. Also the newly Activity screen is supporting small and large screens now.

The Access Review wizard screens holds a lot of column views. These views were displayed in a fixed format. Now you can sort the columns of the views on your own desired way. As long as the column is suitable for sorting information.

Product Backlog Item 57807: Sort Member names alphabetically on the Member screen

The Member screen were you can see and add members of your workspace, is sorted now alphabetically on the FirstName of the users.

Product Backlog Item 55408: Request form items could be changed by the approver

When a Requester request a workspace by a form, that information is send to the Approver. The approver was not able to change the information on the form of the requester. Now he/she is. Of course are these changes also send to the Requester of the workspace.

Product Backlog Item 56505: [Web Part] Display the role(s) of a member, instead of the 'User Type'

The Member Web Part is showing the User Type as extra information item of a displayed Member. To display more meaningful information, the assigned permissions roles are shown.

Product Backlog Item 60323:  Improve performance and animation of left main menu

The left menu of the PortalTalk Admin center is revised for this version. We were not happy with the performance and animation speed of the menu. In this version we introduce a new version of it which will show a much better performance.

Product Backlog Item 62271: Add an Custom API function to get the unique ‘App ID’ of a workspace

For customers who use the PortalTalk API to connect to other applications, we made improvements to retrieve the PortalTalk unique App ID of a workspace. The App ID is used for almost all available methods to retrieve a specific workspace to perform actions on it. A specific function let you retrieve the App ID based on Workspace name or email address.

Product Backlog Item 62202: If invited user is blocked, display message to contact administrator

A blocked status of an external guest user happens when the PortalTalk Admin change it to this state. A blocked guest user cannot longer be added to a workspace. If the owner of a workspace still invites on the blocked guest users mail address, we will show a friendly message to contact the PortalTalk admin to unlock, if appropriate.

Product Backlog Item 60026: Add the color of the category to a workspace list view

In the 2.2 release we brought back the category color to the workspace boards view. In this release we will bring back the color also to the list view of workspaces.

Product Backlog Item 60025: Add the 'Workspace Type' column to all supported views

The 2.2 version introduced the sub-categories of a category, named ‘Workspace types’. In this release we added this ‘Workspace type’ column to several reports to give the PortalTalk Admins a better overview of this detailed information.

 

Bugs resolved

Bug 61389: Admin Center for Security Officer role will be opened with all permissions

The PortalTalk Security Officer admin role should open only a specific set of admin functions, not al functions. This was the case in 2.2 release. Now we fixed this, so the Security Officer only has access to the information he is entitled for.

Bug 59050: Admin Role 'Security officer' cannot open the classic Admin Center

Security Officer was not able to open the Admin Center specific functions. We fixed this in the new Admin Center UI. So, the Security Officer is always opening his specific functions in the new UI.

Bug 60917: The workspace report is not showing workspaces containing no owners or members

The Workspace overview and reports were not showing active workspaces with no owners or members. Of course they should be shown, because they need attention. In the release this is fixed and all active workspaces are shown in the overviews of the Admin Center.

Bug 62198: 'Access Type’ default setting is different for Sites Web Part and MS Teams UI

On creating a new SharePoint site, the Access Type setting on the create form did show a different default option for the SharePoint UI (Sites Web Part) and the MS Teams UI. We changed this, so both UI’s are showing the same default option now.

Bug 61203: Activities – Pictures are not in dark mode
The activity screen in dark mode was still showing one light mode picture. We changed this to a correct dark mode picture.

This will explain if new permissions needs to be consented by the global admin to let the new functions of this release work.

Updates to the MS Teams app
There will no update to the MS Teams app. Version 2.2 is and will be the latest version. So no update actions are involved. To let your MS Teams app work correctly, you should be updated to the version 2.2 app.


 

 

Release 2.2.2

This is the first maintenance release of PortalTalk. In the future we will use this more often to release a smaller set of new functions or fixed bugs.

In the release the Access Review functions are enhanced with new and enhanced notification functions. Sending new email types and adding configuration options.

We also used this release to also deliver some bug fixes which are solved since the latest release.

New functions – enhancements & customer request

Product Backlog Item 59283: [Access Review] Sending extra mail to Owners on due date
For now we only sent the designated Security Officer role an email at Access Review due date of a workspace. In this new release we also sent an email to the Owner(s) of a workspace. This is how it should work.

Product Backlog Item 59307: Send e-mail with list overview to Owner(s) if Access Review not done
If Owner(s) do not respond on Access Review notifications to do their job on time, we will remind them. In a configurable number of days a repeating email is send to the users if they have Access Reviews overdue. As long as there are overdue workspaces, the mail will be resent.  The mail contains a link to a page holding the list of workspace to be Access Reviewed by that user. Direct access reviews can be started from that page.

Product Backlog Item 60598: Extra settings to control Access Review emails and intervals to send
We added settings to the Admin Center to control sending Access Review emails and configure intervals to send emails. In total three specific emails can be sent as notification. The admin can configure these emails to be ‘Sent’ of ‘Not Sent’. Also the interval in number of days can be configured.

 

Bugs resolved

Bug 60457: When order of Category is moved (drag & drop) to the top settings will not be saved.
The 2.2 release brought a drag & drop sorting function to the new Admin Center category configuration. The settings of a category were not saved of it was on top of the category list. This because of interference with the Classic Admin Center. We solve this bug by bringing back the old category number field again, as know from the Classic Admin Center. It we can retire the Classic Admin center, we will bring back the drag & drop sorting function.

Bug 60459: Categories – Metadata ordering by drag & drop function is not saved
The new Admin Center added the option to set the specific order of the added metadata fields of a category. Only if the order was changed by the drag & drop function, it was not saved. This problem is solved now and drag & drop function is still supported here.


Release 2.2

This is the release for the PortalTalk Admins. We just delivered a beautiful new MS Teams UI to the users. Now it’s time to also give the Admins a complete new experience. In this ‘big’ release we are delivering a total of 95 new PBI’s to you!

The new PortalTalk Admin Center is moved to the MS Teams app also. So, PortalTalk admins can also stay in the MS Teams application. In this release the new MS Teams UI, for both User and Admin, can also be used as the new Web UI. This means the old Web UI will be deprecated, but for now still available.

Not all functions of the admin console are renewed in this release. Some functions are still in the old UI, but can be navigated from the new Admin Center. In the next release, we will continue to move them over.

New functions – enhancements & customer request

Product Backlog Item 53841: Access Review actions are extended by auditing Public/Private teams
Feedback from our customers showed us the need to also assess the public team workspace while doing the Access Review. As information grows in these teams, owners sometimes forget it has started as public teams. During the Access Review steps we present the owner the public status as a reminder, asking to reconsider. Just by one click, it can be put back to private.

Product Backlog Item 55601: Pass metadata as variables to Azure Function provisioning
A request from customers who really love complex workspace provisioning. This will make it possible to use values of category metadata fields  to interact with functions in the provisioning scripts. This will give the power users more freedom to handle complex flows during the provisioning.

Product Backlog Item 55407: General settings -> E-mail setting accepts shared mailbox as input
We already improved the general e-mail setting of the Admin Center. You can just enter a user name holding an e-mail address and the Exchange Online license. In this release we extending this function to also support the use of a shared mailbox as input for the setting. Nice to now is the fact an Exchange Online license is not needed for the Shared Mailbox.

Product Backlog Item 54002: Resend email invitation in Manage Member page of MS Teams app
The resend email invitation button is brought back to the MS Teams User app UI. For all the times the invited user will tell you he or she did not received an invite email from you.

Product Backlog Item 57922:  Show MS Teams / SharePoint site navigation on MS Teams boards
The function for MS Teams workspace to navigate to the team or SharePoint site by icons on the navigation board was only available to the old Web UI. Now, we brought it back to the MS Team UI. Please try this. This will make it easy to to navigate to the teams workspace, or directly from the PortalTalk workspace screen to the connected SharePoint site.

Product Backlog Item 54316: Extend the search scope to also search the Url of a workspace
There are users who wants to use the Url of a workspace to search on. We included that in the search scope of PortalTalk in this release.

Product Backlog Item 55938: Include Applications in the search results of the MS Teams app
Another search result option is this one. A customer noticed us we did not show applications , registered in PortalTalk in the search results of the MS Teams app. It was the case in the old Web UI. So, we brought it back to MS Teams app for this release.

Product Backlog Item 54563: Better validation during invite of the external users e-mail address.
We will do a comprehensive check on the e-mail address entered for the invite of an external user. This will help to avoid inviting on wrong e-mail addresses and external users who not can logon to the invited workspace.

Product Backlog Item 58231: Rename sub-category name 'Template' to 'Workspace type'
For both the Categories MS Teams and Teamsite(Site collection) we renamed the term ‘Template’ to ‘Workspace type’. The term Template was confusing, because it was also used as term in the provisioning.  We implemented this sub-category function also to the MS Teams Category. So, therterm ‘Workspace type’ is also used here.

Product Backlog Item 58168: MS Teams workspace edit ‘Category’ and 'Workspace type'
To move-over a teams workspace to another Category or Workspace Type, this new function is released. This function is also available for the SharePoint Online Sites Web Part.

Product Backlog Item 58375: MS Teams Category External Invite setting changed to One-time only
The External Invite setting to control the behavior of inviting external users can only be set once, during the creation of the MS Teams category. This function has been changed because the stability of changing the existing teams workspaces was not reliable enough. However it is still possible to move-over teams workspaces in other categories, only on a one-to-one basis.

Product Backlog Item 58373: MS Teams Auto Import will detect single external invite settings
Microsoft Information Protection and also the PortalTalk External Invite setting can control the external invite status of an individual team. While importing teams workspaces to PortalTalk we have to detect this setting. This new function will automatically create two ‘Workspace Types’ in the category to import. One for External Invite enabled, and one for disabled. The end-users will not see these ‘Workspace types’. The PortalTalk Admin however, can see these Workspace Types in the Admin Center -> Workspace Overview.

Product Backlog Item 58397: Admin Center Workspace screen can edit ‘Invite External’ setting
There can be a interference between the Microsoft Information Protection of PortalTalk External Invite control of a teams workspace. That’s why we implemented the function to change the External Invite setting directly, per teams workspace.  on the Admin Center Workspace Overview screen.

Product Backlog Item 59263: Workspace boards designs changed and will show 'Workspace Type'
To display the new ‘Workspace Type’ of a workspace, a change is made to the design of the board displayed on the ‘My Workspace’ screen. The ‘Workspace Type’ is showing the sub-category of the Category the workspace belongs. This is a new function in the PortalTalk categories (see the new MS Admin Console function

Feature 55146: Configuration – Categories’ below.
We also did some redesign of the board view and even brought back the Category color to it.

New functions - MS Teams Admin Console

Feature 55128: New PortalTalk Admin Center for MS Teams
This is the new framework, part of the PortalTalk MS Teams app, who will deliver the PortalTalk Admin Center to the admins.

Also part of the new framework is the PortalTalk Admin Users & Roles assignment center. This is the place to manage the PortalTalk Admin users and their specific roles. The module now is available as part of the Admin Center itself. So, no longer accessible from the User Web UI. The first user who is entitled to start assigning PortalTalk Admin & Roles, is the one who did the onboarding of PortalTalk to the Microsoft 365 tenant.

Feature 55142: Overview – Workspaces
This is the new start screen of the Admin Center. This screen will show you the new dashboard to give you insights on your current workspace statuses. A good introduction to show you the start of the new analytic functions we will add to PortalTalk. Starting now, and to be continued in future releases.

Feature 55145: Configuration - General settings
The general settings section of PortalTalk will bring you all already known settings, only in the new UI/UX experience.

Feature 55146: Configuration – Categories
The biggest configuration screen of the PortalTalk Admin Center will bring a large number of settings together in a well-designed structure. This all presented as a wizard. For the MS Teams category also new functionality is added, like configuration of sub-categories, to so-called ‘Workspace Types’. This will split-up the Category into smaller sections of teams workspaces. These sections will hold their own settings, like provisioning and Invite external user settings.

Feature 55144: Overview - Workspace owners
Workspace owners will also start to present you a dashboard. This will give you a direct statistic view of the workspaces with or without owners. These KPI’s also act as a filter button when you hit them. We are also showing you top-5 lists of workspaces with the most assigned owners, and users who are assigned the most as owner. The workspace and their owners overview is presented to you in the new MS Teams look & feel.

Feature 57009: Import MS Teams
Of course the Import MS Teams screens at the Admin Center are also redesigned in the new MS Teams look & feel. We also added the option to also select the Template of a category. This is needed, because we added this new sub-category option to the MS Teams categories for this release.

Feature 57471: MS Teams UI as New Web UI
It’s time to deprecate the old PortalTalk Web UI. It served us well over the last 5 year. Time for something completely different. The already well know MS Teams PortalTalk app design is also extended as the new Web UI. Just use your customer specific web URL <%customer%>.portaltalk.com, and the new Web UI will show up. If you want to switch to the old one, just add /classic the your Url.

 

Bugs resolved

Bug 57553:  Settings the privacy of a Teams workspace with read-role enabled ,by the MS Teams UI causes access and search result problems to the documents
This bug was holding us for a long time. It had a relation to the PortalTalk MS Teams Read-role. The permissions we changed for that were valid, but nevertheless MS Teams search results were not showing results at all. We modified the assignments of permissions for the read-role and the problem is solved now.

Bug 57615: PortalTalk MS Teams privacy settings (Private/Public) will not be applied to the team workspace.
Investigation showed us, the problem was caused by the fact some users changes their privacy settings at the MS Teams app UI. We are not a big fan of that, because you should use PortalTalk, but we need to support that. We changed it for this release and it’s working now.

 

Changes to consent permissions

This will explain if new permissions needs to be consented by the global admin to let the new functions of this release work.

Updates to the MS Teams app
The MS Teams 2.1 app release will still work on this release, only with some small exceptions. It’s a good idea to update the MS Teams PortalTalk 2.2 app before the update at 09:00 on Monday the 26th of September, 2022.


Release 2.1

This is the release were the new way of processing activities from PortalTalk in MS Teams is born. All kind of activities PortalTalk can deliver are now directly send to the MS Teams activity app.

Besides that, a lot of large and small changes are made in the new MS Teams app, as released in the version 2.0. You will find all detailed information in this section.

Product Backlog Item 49811: PortalTalk activities are sent to MS Teams activity app
Release 2.0 added the PortalTalk Activity screen showing al kind of activities. In this release, these activities are also directly sent to the MS Teams activity app. The action of the activity is directly connected to a PortalTalk screen, which is shown inside the MS Teams Activity app. This will deliver a tight integration of PortalTalk into MS Teams.

Now the number of activities will increase in the Activity app, it can become a bit overcrowded. The get a better overview, the Access Review activities are now shown in one aggregated Activity. Delivered daily on top of the Activity list. When you click that activity, a popup-screen will show you all the Access Reviews to perform at that moment.

Product Backlog Item 54005: PortalTalk MS Teams app support for dark theme
MS Teams support a high contrast dark color theme. In this release PortalTalk is also supporting this dark theme. When you switch MS Teams to dark theme mode, PortalTalk will be also displayed in dark mode.

Product Backlog Item 53824: Click ‘Access Review' on Activity screen will show Access Review list
When a user does click the ‘Access Review’ board on the Activity screen, a pop-up list is showing all of the Access Reviews waiting for processing. The user can issue the Access Review directly from that screen.

Product Backlog Item 53822:  Click 'Workspaces' on Activity screen will show workspaces list
On the Activity screen, clicking the ‘Workspaces’ board, a pop-up list is shown all workspaces of the current user. The list can be used to navigate directly to a selected workspace.

Product Backlog Item 53828: Allow inviting Externals ON or OFF available at category screen
Microsoft only has one big button to switch the invite guests to ON of OFF for all MS Teams. PortalTalk will give you the granularity to set this per category. This is not only blocking the option to invite guest in the PortalTalk UI, but in MS Teams UI also.

Product Backlog Item 54312: Make ‘External members’ not visible to other external members
There are scenario’s that external member may not know which other external members are invited to a workspace. A extra switch in the Workspace ‘Edit’ screen will give the owner the control of it.

Product Backlog Item 53820: Add 'Move to top' icon introduced in MS Teams app board
In the Web UI there is the option to send a workspace board from any position in the category ‘My Views’ and search result page, to the top of you workspace overview. This option is now also available in the new MS Teams app.

Product Backlog Item 49351: From now, PortalTalk is using the Graph API for all AAD calls
PortalTalk was still using AAD API’s for some functions. These API will soon become deprecated. All AAD API’s calls are now using the preferred Graph API AAD method.  

Product Backlog Item 50795: Display warning if MS Team already removed by MS Teams
A MS Teams workspace of channel can be removed at the MS Teams app level. In that case PortalTalk will still hold a record of that Team workspace of channel. The workspace board of that team workspace is still shown to you.,When you click to open that team workspace, it will display a message showing you it’s already removed.

Product Backlog Item 51296: Team workspace deleted by Teams UI is marked "Deleted" in PortalTalk
When the team workspace is deleted by an owner in MS Teams UI, the workspace becomes registrated in the Admin Portal Workspace overview as ‘Deleted’. So, the admin is still in control on deleted team workspaces by the MS Teams UI. Admin can choose to delete the team workspace registration in PortalTalk at the ‘Workspace Deleted’ overview.

Product Backlog Item 54702: New MS Teams app UI also available as web UI
The new MS Teams app UI can be also used as web UI in your browser. In this first release of a new web UI, you can choose to use the existing Web UI (<your tenant>.portaltal.com), or you the Teams UI in the browser (<your tenant>.portaltal.com/teams). In this early release we want to check the customer feedback, if this is a good(or better) Web UI then the existing one.  If so, we will implement this as the  new default in a upcoming release.

Product Backlog Item 55406: Search account to select mailbox, instead of typing an email address
At the PortalTalk system settings it's necessary to set the system e-mail address for sending all the mail messages PortalTalk is generating. This setting needs an e-mail address input. FOr now, you can directly search an account holding that e-mail address. So, mistakes cannot be made anymore and a supported Exchange Online mailbox is always correctly selected.

Product Backlog Item 50653: Only one [placeholder] to identity a workspace in email templates
In the all the email templates ther are different [placeholders] to identify a workspace name. [TeamName], [TileName] and [TeamTitle]. To make it clear to the PortalTalk Admin while customizing these email templates, we brought it back to one general to use term [Workspace] . This version updated all the old [placeholders] in existing email templates for the new one.


Bugs resolved

Bug 50431: Globe icon of the MS Teams app does not redirect to correct page
This is fixed, together with the new option to use the MS Teams UI also in the browser.

Bug 50876: The link in the request e-mail does not bring you directly to Approve/Deny page
When you click in the link in a request e-mail to approve of deny the request, you were send to the general PortalTalk Web UI. This bug fix will bring you directly to the Approve/Deny page to do your action.

Bug 54315: Wrong date/time format in Access Review - Shared document view
Date listed in the overview was fixed the English month/day format. This is changed not to use the selected regional settings in PortalTalk. For the  Dutch language this means, listed in month-day format.

Bug 53762: Incorrect text labels after 2.0 update for My Workspace row settings
Row settings of the My Workspace configuration screen was showing the label_names instead of the actual text, the number of rows you want to show. This is fixed now.

Bug 54569: Activity screen not correctly shown on several standard screen resolutions
The new PortalTalk activity screen was not correct shown on several screen resolutions. The responsive design behavior has been changed to solve that.

Known Issues

KI-10:  Creating SharePoint sub-sites in PortalTalk only allowed by SharePoint Admin Center setting
If the SharePoint Admin Center setting ‘Allow to create sub-sites’, user are not able to create sub-sites anymore. PortalTalk was still able to do so, using a SharePoint API for it. New policies set by Microsoft are blocking this form now. So, if you want PortalTalk still to create sub-sites in your specific categories, this settings has to be set to ON.

Changes to consent permissions

This will explain if new permissions needs to be consented by the global admin to let the new functions of this release work.

 

A consent is needed for this release to support the Graph API AAD functions.

Updates to the MS Teams app

The MS Teams app release before this will still work. Only new functions in the MS Teams app for ths release will not be supported. As soon as you update the app, new functions will be available.

There will be a new update to the MS Teams app.

Release 2.0

This is a release with special attention. PortalTalk 2.0 will show a complete new MS Teams app. This app is build from scratch as a new application, holding all the good and well know functions of PortalTalk.

But, it also is the beginning of the introduction of new functions. In the 2.0 release several new functions are introduced. In the near future more functions will be added

Is a complete makeover for the PortalTalk main screen. The user interface is aligned to a new and fresh design, which will fit well in the MS Teams design language.

The new My Workspace settings let you choose the categories to view at ‘My Workspace’. New interaction using drag & drop functionality is added.

Product Backlog Item 50011:  Check on duplicate workspace during Create or Request a workspace
A new function while creating or requesting a new site or team. PortalTalk is checking if a workspace by that name already exists. It will give a warning and will invite the creator to contact the owner of the other workspace by starting a conversation.

Product Backlog Item 50051:  Check on number of workspaces created
If a user creates more than 25 workspaces a warning is shown. It will list the workspaces in a overview. The user can choose to stop the creation, or can skip the warning and continue.

Product Backlog Item 50012: Activity screen
This is a complete new screen in PortalTalk. It will show you as member and or owner all activities to keep you up to date on your workspaces. For now this screen will show you the activities of PortalTalk. In the upcoming release this screen will be filled with a lot of new functions. Making this the center of your collaboration work in MS teams and/or SharePoint.

Product Backlog Item 50074: All English mail text default to the Dutch language
This is the standard language of the e-mail templates, to be available when onboarding a new tenant.

Product Backlog Item 51296: If MS Team is deleted by teams UI, also delete the team in PortalTalk
A team can be deleted in the MS Teams UI. It keeps still registered in PortalTalk. Now the PortalTalk sync engine will monitor this process and will remove the registration in PortalTalk also.

Product Backlog Item 49888: Move other secrets to the Key Vault
In the last release the start was made to store secrets in the Azure Key Vault. Before that, they were stored in an encrypted database. In this release all secrets used in PortalTalk are moved to the Azure Key Vault, bringing optimal security to this sensitive assets.

Product Backlog Item 52746: Create Workspace - Set max. time to complete provisioning
This new setting in de PortalTalk Admin -> Categories will give you control when a workspace is shown to the creator and is actual ready to use. You can set timeframes from 2 to 20 minutes. Your choice depends on the time it would take to complete you specific provisioning.


Bugs resolved

Bug 50056: Save category settings fails for MS Teams categories
After configuration of a MS Teams category in the PortalTalk Admin console, sometimes is refused to save. The cause of this problem is found and solved.

Bug 50132: ‘Approver Comment’ is not available in approve/deny email templates
The ‘Approver Comment’, which can be given on the Approve/Reject workflow screen, was not visible in the sent e-mail. In this release this information is added to the mail messages also.

 

Bug 50059: Create/Approve MS Team fails if description is not filled
In the create/request form of creating a new MS Team, the function failed to start if the subscription was not filled. Considering this is not a required field, the function is changed to start the creation/requesting of a team, even if the description field is empty.

Release 1.15

New functions

Product Backlog Item 48412: Recover site for a deleted workspace from the SharePoint's recycle bin

The PortalTalk SharePoint site delete function was not recoverable at this moment. In this release we will add support for modern Team sites (site collections). Deleted SharePoint sub-sites cannot be recovered. Recovery can be done at the SharePoint Admin center.

Product Backlog Item 41908: Delete PortalTalk MS Team registration if already deleted in MS Teams

When a team is deleted in the MS Teams app, the registration of that team is still active in PortalTalk. When that team is deleted in the PortalTalk admin center it will notice the administrator that the teams is already deleted, and will delete the registration in PortalTalk also.

Product Backlog Item 47943:  Add configurable prefix to the name of a workspace for every category

A prefix to the name of MS Teams can be configured per category. This prefix will start the name of the team, followed with the given name by the creator of the team. The name, description, primary mail address and alias will start with this pre-fix. So easier to recognize for end user and administrator.

Product Backlog Item 48924: New provisioning MS Teams by PnP template for SharePoint site

To make provisioning of the SharePoint site connected to a MS Teams easier, a new  provisioning option to the SharePoint site is added. We also support the upload of a PnP XML template to a MS Teams category. If a new team is created, the team is provisioned by the MS Team template. Also ,the connected SharePoint site is provisioned by the PnP XML template. This will provide a flexible and easy to configure provisioning.  The existing provisioning by an Azure Function is still available as the default option. The new provisioning is available as an additional option.

Product Backlog Item 48301: Unregister MS Teams in batch on the CAP workspaces screen

From this release it is possible to unregister more than one team at once from the admin center ‘Manage Workspace’ screen.

Product Backlog Item 48440: Use Azure Key Vault for PortalTalk secrets

To improve security of high sensitive data the PortalTalk connections parameters of the database, blob store and Sendgrid mail service are stored in the Azure Vault service.

Product Backlog Item 48416: Manage Workspaces pages will show Display- and Workspace Name

The ‘Manage Workspaces’ screen at Admin Center will not only show the Display name of a workspace, nut also the workspace name. This workspace name is showing more detailed information of a team. For instance, a SharePoint site will show the , A MS Team will show the unique primary mail address of the Microsoft 365 group.

Product Backlog Item 45715: Add 'Date user invited' column to the reports 'External users'

The ‘External users’ report is extended with an extra column ‘Invited Date’. It will show the initial date an external user is first invited. Together with the ‘Last activity’ column it will give the PortalTalk Admin better insight to the external users activities. 

Product Backlog Item 49061: Redesign of the Category Settings screen

The ‘Category’ screen is one of the main configuration screens for PortalTalk. The growing number of settings and options, let us decide to redesign the screen. The settings are organized in sections now, so easier to find and configure.

Product Backlog Item 48332: On ‘Control Access’ screen also show permission descriptions

In the 1.14 release we added the description of permissions roles to the ‘User Permission’ screen. Iin this release we show them also on the ‘Control Access’ wizard screens. This making it easier to the owner of the team to better understand what the permission does in detail.

Product Backlog Item 47870:  Added h function in multi categories selection Web Part

We added the option to use search in the new multi-category configuration for the Sites Web Part. It will search all workspaces in all configured categories of the web part.

Product Backlog Item 48577: Added Search function to the List View of Sites Web Part

Search function is also added to the List View of the Sites Web Part.

Product Backlog Item 41817: Owner can correct an external team member's name

When a external user is invited, the owner has to type a display name. If the name is incorrect, there was no option to edit the name. In this version the option to edit and external user is available on the ‘Team Composition’ screen. 

Product Backlog Item 49898: In workspace, option to hide external users for other external users

It can be that external invited users may not be seen by other external users in the workspace. In this version a switch can be set to include(default) or exclude the external users to be seen by the other external users of the workspace. This option is supported in all SharePoint categories, but excluded to the MS Teams category.

Bug 48302: Setting 'Account for creating Modern Team Sites' on ‘Setting’ screen is now optional

The SharePoint setting ‘Account for creating Modern Team Sites’ in the PortalTalk Admin center was required. In this version it is made optional. So, if you don’t have a MS Teams configuration only, you do not have to setup the SharePoint account setting.

Bug 48711: When editing Sites Web Part, sometimes category drop down list is empty

If configuration of the Sites Web Part had to be changed, sometimes the category dropdown box was not showing. This problem is solved now.

Bug 48903: Change the direction arrow when sorting on list views

The direction arrow on several list and reports views was not showing the right up/down direction. This is changed now.

Bug 49054: On Category screen at MS Team category not all teams can be selected

In the PortalTalk Admin workspaces screen, it’s possible now to select all workspaces in a MS Teams category. This can be used to unregister all teams in the category at once. Usefull to undo a auto import action of teams in PortalTalk.

Bug 49318: User photo not correct retrieved even if available through Graph API

In some configuration there were still problems showing the user photo of members, both in PortalTalk Sites and Member web parts. Microsoft made changes to the API’s responsible to get the user photo. Now, the Graph API is used, instead of old Azure AD API’s.  

Bug 50063: Team Site (Site Coll) can be created with the wrong SharePoint base language

In some configurations the base language of a SharePoint site can be created wrong, when the site is not supposed to be in the English language. In the case this has to be Dutch. This is solved by setting the language setting to ‘Dutch’ in the PortalTalk Admin Portal. This already existing setting will now also set the base language of the created site in the Teamsite(Site collection) category to Dutch.

Product Backlog Item 47940: PortalTalk user manual available in the English language
We’ve added a new English user manual with special sections for the PortalTalk admin, owners and users. The manual is accessible trough the ‘?’ sign on the top right bar on every screen. The correct language of the manuals is started according to the browser language settings, the same which set the language for PortalTalk itself.

Product Backlog Item 48071: Search results of MS Teams give the option to navigate channels
When MS Teams are shown in PortalTalk search results, it will show the channel navigation list when one of the teams is clicked. This instead of navigating to the ‘general’ channel of the team.

Product Backlog Item 47030: List View of workspaces added to the Sites Web Part
In the current release the List View of workspaces was already added to the PortalTalk Web UI and MS Teams app. Now it’s also added to the SharePoint UI by the enhanced Sites Web Part.

Product Backlog Item 47050: Filter options to the List View of workspaces
The new List View have the option now to filter on specific columns in the view. Columns showing data which can be filtered, will have that new function.

Product Backlog Item 47262: Navigate to MS teams channels in the List Views
A MS Teams category shown in a list view let you navigate to all channels of the team, instead of navigating to the ‘General’ channel.

Product Backlog Item 47051: Enlarge pull-down menu of the channel navigation
When the channel navigation of a selected MS Teams is shown, it will show long names completely in full width on the screen.

Product Backlog Item 47031: An archived workspace will not show team members in SharePoint
When a site is archived  the Site Members web part do not show the members anymore, because they are not member of the archive site anymore. A  text will be shown with explanation the workspace is archived.

Product Backlog Item 39670: Select more than one category to show in the Sites Web Part

The SharePoint Sites Web Part now is able to show more than one category by selecting several categories of workspaces to show in the same web part. A sort button is added to choose sorting the complete set of workspaces on personal order, name or creation date.  Search function is not available for this multi-category.

Product Backlog Item 47611: New filter options on List Views in User and Admin screens
User (My Workspace) and admin screens (Workspace view & reports) showing information on Categories and/or Category Types will have the option to set a filter. This will generate a filtered  view.

Product Backlog Item 47263: Replace MS Teams Clone for the new Team Template function
Microsoft just released the new MS Teams team template function to provision teams with a certain standard setup of channels and apps. PortalTalk is supporting this new function also, by setting an optional team template in the Admin Center configuration of a MS teams category.

Product Backlog Item 34319: Show description to explain the detailed permissions of a role
When an owner of a workspace has to choose the proper role for an member, an exploitational text will show what the detailed permissions of the role are. The description per role can be set per defined role in the PortalTalk Admin Center.

While MS Teams doesn’t have configurable roles, the descriptions of the exact permissions are set as standard text.

Product Backlog Item 45698: Display new release features of PortalTalk to end-users
The end users of PortalTalk will be informed by the ‘What’s new’ icon, visible in all three user interfaces (Web UI, MS Teams app and SharePoint Web Parts), as soon as a new release is published. Click on this icon will bring up a screen showing the new features of the latest release. Only options who are interesting for the end users are explained. The ‘What’s new’ icon will be only shown for a short time after the release.

Product Backlog Item 41597: Importing Modern Teamsites as function to the PortalTalk API
Added to the PortalTalk API are new functions to import already existing Modern Teamsites (sub-sites and site collections). A standard PowerShell script, provided by PortalTalk, is availably to start using this function as part of your own scripts.

Product Backlog Item 47519: Do not show applications category if no configuration of apps is done
The applications category is shown by default in the user interface. Now, if no configuration of apps exists, the ‘application’ category is not shown.

Product Backlog Item 36165: Remove support for SharePoint old style iFrame
The old SharePoint App and App part, making use of the old iFrame technique, is not longer supported by the PortalTalk back-end. No customers are making use of the app anymore.

Bug 47476: Control Access wizard doesn’t finish correctly when initiated through an email hyperlink
When the request to do the control access is started by the e-mail link, the Control Access wizard is correctly started. Only the and of the control access wizard the return to the PortalTalk start screen is not initiated. This is solved in this release.

Bug 47915:  When item is deleted in Workspace view, screen needs refresh to show list again
The PortalTalk Admin screens ‘Workspaces’ and ‘Application’ management will instantly show the list of items again, after an item is deleted. No refresh is needed anymore.

Bug 46442: The layout of the Site Web parts on pages with more than one column is changed
The Sites Web Part action menu, showing search box and create workspace buttons, were not properly displayed due to the fact there was not enough space to display these items, We changed that to only display these action items when the page the web parts are added contains only one column.

 

Known issue

KI9: While creating a MS Teams team template the locale must be set to ‘English (United States) to let the template work in PortalTalk. Every other language will generate an error while creating an team by PortalTalk. This is a Microsoft known issue. PortalTalk is using the Graph API to use this function and is depending on Microsoft to fix this issue in the Graph API.

KI10: This 1.14 release will need an update of the two PortalTalk web parts ‘Sites’ and ‘Team Member’s’. The update of the PortalTalk Sites Web Part will only enable the function to select multi-categories if the web parts is newly added to a page. An existing Sites web part will work after the 1.14 release, but configuration of multi-categories cannot be done.  Solution is to remove the old web part form the page and add a new one. Configure this new one to your needs.

 

Changes to consent permissions

This will explain if new permissions needs to be consented by the global admin to let the new functions of this release work.

 

There are no new or changed consents in this 1.14 release.


Release 1.13

New functions

Product Backlog Item 46171: Add the Workspace Request functionality also to SharePoint Web Part
Release 1.12 delivered the new Workspace Request functionality to PortalTalk Web UI and MS Teams app. The new 1.13 release completes this new experience to make it also available in the SharePoint Sites Web Part.

Product Backlog Item 42373: Improve performance of the MS teams app
The performance of the MS Teams app for PortalTalk is improved. The repeating authentication of the app, which causes extra loading time, is improved. Also the loading time of the app is improved by dividing the app load files in several pieces.

Product Backlog Item 45128: Improve performance of the MS Teams app channel navigation
Loading the channel list of a team in the MS Teams app was taking to long. Because of the slow response of the MS Graph API. For now, the channel list of all teams is hold in de PortalTalk database. This will guarantee a quick and responsive load time of the channel list when a team is navigated.

Product Backlog Item 42299: Manage metadata definitions on de Admin console category screens
Categories in the Admin console have the option now to configure additional custom metadata fields. This function before only available by using a separate SharePoint list and Power Automate flow. Configuration is much easier to setup and maintain.

Product Backlog Item 46192: Display category metadata at the PortalTalk web UI list view
Using the list view, introduced in the 1.12 release, custom metadata fields are also shown in the Web UI and MS Teams app.

Product Backlog Item 46521: Create and edit workspace custom metadata values
Metadata values can be entered during the creation of a workspace. If the ‘edit’ screen of a workspace is used, the metadata values can be changed.

Product Backlog Item 46713: Add metadata to the request/approve workspace flow
Metadata is also shown in the request/approve screens.

Product Backlog Item 39284: Change Site Collections settings screen to remove Credential fields
Credential fields are not used anymore to add or configure a SharePoint site collection registration. The modern authentication method by using AppID and AppSecret are used.

Product Backlog Item 46560: Change SharePoint Web Parts title font according to new design
Microsoft changed the SharePoint UI slightly by changing the font of the web part title. PortalTalk SharePoint web parts will also display this new web part title font.

                                                                   

Bugs resolved

Bug 46610: Setting organization access to a workspace is handled in the full sync only
Organization access to a workspace could take for almost one day to make permissions active. This due to the daily sync of PortalTalk’s organization access permissions to the workspace. The process is speeded up by assigning this to the incremental sync job, which takes place every few minutes.


Bug 46609: Guests invited on MS Teams and modern teams sites don't have the reinvite button
When a user is not respons on an invite, the reinvite button can be used to resent an invite mail. This button was not available on the MS Teams and modern teams sites using a Microsoft 365 group. This problem is solved now.

Bug 46336: Cannot cancel ‘Control Access’ if navigated to this screen by owner icon on a card
When an owner starts the ‘control access’ process by clicking the owner icon on a workspace card, it’s not possible to use the ‘cancel‘ button to stop the control access. This problem is solved now.

 

Known issue

KI8: When a workspace is archived, it could take time till the original access rights are removed.
This is due to a Microsoft by design function in the case an AAD security group is nested to a SharePoint group. It could take up to one day to remove the original access rights, and archive access rights are in place.

 

Changes to consent permissions

This will explain if new permissions needs to be consented by the global admin to let the new functions of this release work.

Release 1.12

New functions

Product Backlog Item 43210: Complete redesign of the Control Access process and screen designs
The control access process and screens are completely redesigned. A wizard will show the three steps of the control access process in a complete new user interface experience. For users, it’s now much more easier to use and more understandable what the process actually is doing.

Product Backlog Item 44045: New control access screens also available to the Sites Web Part
With the release of the new Control Access wizard in this release, it will also come available to the Sites Web Part. This was the last missing screen inside the SharePoint UI. So, now all interactions with PortalTalk can be done inside SharePoint.

Product Backlog Item 42300: Setting to choose on which sections to perform control access
The control access wizard is split into three controlling sections, Users, Permissions and Shared Documents. In this admin center setting the administer can set per category which sections has to be controlled on control access. While Control Access is switched on, minimal one section has to be switched on.

Product Backlog Item 41600: Process to request the creation of a workspace
The process to request the creation of a workspace is built often in a configuration between a SharePoint list, Power Automate and a workflow. Now, this service is build-in directly into PortalTalk. A category can be configured to request a workspace. The requester can fill in the normal create form. The actual creators will get an e-mail with approve options to do the actual creation of the workspace after the approval step.

Product Backlog Item 43029: Extra view to show workspaces in a list view
In PortalTalk all workspaces are shown in boards views. This will be extended now to also let the end user choose to see his ‘My Workspace’ in a list view. This is the first screen were this function is available and will be extended to other screens in the upcoming releases.

Product Backlog Item 44927: Add Read role to MS Teams categories
In MS Teams an owner is not able to give an invited member only read access to the documents inside the team. PortalTalk now can give this ‘reader’ role to specific users. The user with the ‘reader’ role can only read the documents of the team. All other teams functions, like chats and using apps, are still available for users with ‘reader’ role. This function is only available from within the PortalTalk MS Teams app.

Product Backlog Item 44454: Set-up of extra permission role to existing workspaces in that category
When a extra role is added to an existing category in PortalTalk Admin Center, all created new workspaces will receive this new role. The existing ones  does not get this new role. A new function in the PortalTalk API now support adding this role to already existing workspaces. This can be added to a PowerShell script which will add this additional role and set specific permissions of this role to the existing workspaces.


Bugs resolved

Bug 41588: Create MS Team for other user then yourself gives error ‘MS team not created’
This bug showed up when a user without MS Teams license tried to create a team for another user. It’s not allowed to create a team without MS Teams license, so this bug is solved by showing a friendly error.

The settings screen has become over the year a complex screen with al lot of settings. In this version it is redesigned to a tabbed interface showing specific settings per subject on one page.

Product Backlog Item 42766: Redesign the External Users report

Product Backlog Item 42764: Redesign of the Access Control Report
Reports at the Admin center are redesigned to show information more organized. Configuration options are added like customizable columns, filters and views. Even custom views can be stored for later use. The new export function will directly export to MS Excel format were further analysis can be performed.

Product Backlog Item 41589: New report to display all Workspaces and their Owners
A new report is added to the Admin center to report all workspaces and basic information like owners, internal and external users. Also report capabilities of MS teams are added. The report is having the same functions as the new design for the existing reports which are also changed for this release.

Product Backlog Item 39557: 'Control Access' report is changed to reset control access in batch
The Admin center option ‘Control Access’ holds a new interactive function to change the status of the control access period of selected workspaces in batch.  This, of course, is only accessible for PortalTalk admins.

Product Backlog Item 44025: An invited MS Teams user should be shown with the role 'Member'
The role of a MS team member was not shown in the PortalTalk permission screens. It was just blank. For this release the role is properly shown as ‘Member’.


 

 

Product Backlog Item 37694: Reorganize mail template list
Mail templates, not longer used in the application have been removed. The remaining mail templates have been renamed to a more understandable naming, so it’s easier to understand their function.

Product Backlog Item 43855: Sites Web Part: Add role and team composition screens on public view
The public view of the Sites Web Part now has the functions again to show the team composition and add role screens. This is the same as already available at the PortalTalk web browser UI.

Product Backlog Item 42294: Site Web part: show workspaces or apps in a list view
The Sites Web Part has became a new display option ‘list view’ to display workspaces or applications in a list view. The icon of a workspace or application is shown as a small icon in front of an item.

Product Backlog Item 43027: Change all assigned permissions of a user, instead of being standard
It was not possible to change the standard assigned permission roles of a individual user. Making it difficult to assign only a specific role to one user with lower access rights than the standard roles. Now it is possible to assign all permission roles, standard or individual, to single users.


Bugs resolved

Bug 34232: Control Access report is displaying archived/deleted workspaces as overdue for Control Access. Already deleted or archived workspaces are no longer shown on the Control Access report.

Bug 44488: Shimmer loading issue for MS teams app
The lay-out of the shimmer screen in the MS teams app main screen was not shown correctly. Now this is changed. The shimmer is showing the same lay-out during loading as the main screen itself.


Release 1.10

New functions

Product Backlog Item 41907:  ‘Team manager’ changed to ‘Owner’
The term ‘Team manager’ as the owner of a site or MS team managed by PortalTalk was misleading. Customers asked us to change that term to the same Microsoft is using. So ‘Team manager’ is changed now to ‘Owner’.

Product Backlog Item 41594: Drag and drop boards in SharePoint
Drag and drop support of the PortalTalk boards was already supported in the full web and MS Teams app UI. Now it’s also supported into the PortalTalk SharePoint Sites Web Part.

Product Backlog Item 41594: Interactive PortalTalk Sites Web Part
All functions to manage PortalTalk sites are available now directly into the Sites Web Part. A owner of a site doesn’t have to switch to the full PortalTalk UI and can stay in the SharePoint UI to do his job.

Product Backlog Item 41595: Interactive PortalTalk Member Web Part
Also the PortalTalk Member Web Part is changed to use all available functions directly in the Web Part SharePoint UI. Inviting users was already possible. Added now are the functions to assign permission roles and remove users.

Product Backlog Item 34399: New option to add Office 365 group to Teamsite (Site Collection)
The category ‘Teamsite (Site Collection)’ is offering the function now to add an Office 365 group to the site created. This will open the option to add web part integrations to the site which rely on Office 365 apps, like team calendar or planner. It is still possible to work with fain grained access permission to the site, using PortalTalk’s configurable permission roles.

Product Backlog Item 36727: In ‘Teamsite (Site Collections)’ more than one site provisioning setup
On category screen 'Teamsite (Site Collection)’ subcategories, called Site Types, can be configured which can be used to choose to create different site setups. For instance, a small project, IT project and large project for the category ‘Projects’. Every type could have it’s own configured PnP provision template.

Product Backlog Item 41599: Option to provision a communication site in PortalTalk
As a new sub category (Site Types) a new site template type ‘Communication site’ can be chosen. This will give the option to let PortalTalk also provision communication sites.

Product Backlog Item 39206: Invite users and assign permission role in an one-screen experience. The standard permissions as configured is provided as soon as the user is invited. Now, on that screen, additional permission roles can be assigned without going to the permission screen.

Product Backlog Item 42292: Create public and private channels in PortalTalk Teams app
The PortalTalk MS Teams app now has the function to create channels. The new private channel function is also supported. So, an owner can choose directly in the MS Teams app to create a new public of private channel. On creating a private channel, the owner can also choose which users of the MS team are allowed access to the private channel.

Product Backlog Item 31191: Sending e-mails through Graph instead of SendGrid.
PortalTalk was using the SendGrid mail service to send invitation mails to users. This mail was not send from within the internal customer environment. Send mails through SendGrid will often deliver the mail into the clutter or unwanted mailbox. In this release it is changed to send by the Graph API which will send the mail directly from an internal mail address right to the users inbox.

Product Backlog Item 37039: Restore a inadvertently archived site from the archive
Provide the option in the Admin panel to restore a inadvertently archived site. A new owner is assigned by the PortalTalk Admin. The owner than can re-invite members.

Product Backlog Item 41304: Extend the provisioning of Yammer group
Extra parameters are added to the Yammer provisioning script to create the Yammer group public or private, and create the group internal or external.

Product Backlog Item 41911: Departments, projects and communities not available after onboarding
When the onboarding of a new tenant is done, the old classic SharePoint categories departments, projects and communicaties are created. These are not used in new scenario’s anymore and cannot be removed by the PortalTalk admin. Now, these old categories are not created by default anymore,

 

Bugs resolved

Bug 39202: Create and provision simultaneous modern team sites by the Azure Function
The simultaneous creating of more than one team site by the Azure function will deliver a mix-up between the jobs. Sites are not provisioned the way as expected. A change to the configuration of the Azure function solved this. The changes to the script are available in the standard provisioning setup manual. Also a description how to use the enhancements of the script can be found there.


Release 1.9

New functions

Product Backlog Item 42149: Changed design of the PT365 Team app
A special design of the PortalTalk 365 UI which fits into the MS Teams UI. So smaller boards to display more MS Teams in the navigation area of the app. The existing UI keeps still available in the browser.

Product Backlog Item 42152:  'Last consent' date shown on the admin settings screen
The last date and time the consent of PortalTalk 365 to the customer tenant is performed, is shown on the PortalTalk 365 Admin settings screen. Making it easier to check if certain changes are not activated and a new consent is necessary.

Product Backlog Item 42154: If consent is needed, text is shown on the start- and admin screen
If a new consent is necessary, a reminder text will be shown to the tenant- and PortalTalk 365 admins, to perform.  Consent is sometimes needed when new software functions are introduced during a new software release.

Product Backlog Item 42151: Add the button ‘My workspace’ to the MS teams app
Customize the ‘My Workspace’ screen in the new MS teams app UI.

Product Backlog Item 41210: Improve performance for retrieving large number (>700) boards in PT365 UI
Especially on a category containing a large set of boards, performance to display this items is improved.

Bug 41324: Drag & drop of large amount (> 700) of board not working
Drag and drop function is now working correctly on categories containing a large number of boards.

Bug 41307: User Picture is not always shown
In some cases user pictures on the invited users screen or in the member web part are not shown. This because of the customer tenant is not using Exchange Online at that moment. We add another option to still retrieve the user picture from another source.


Known Issue

KI4: When a SharePoint site is deleted from the PortalTalk 365 admin console, the site is not recoverable from the recycle bin. This due to a unavailable API delete function in the Microsoft software

KI5: When a MS Teams is deleted from the PortalTalk 365 admin console, it could take up to 4 days before the team is actually deleted. The connected SharePoint site, Exchange mailbox and Office 365 group are almost instantly deleted. This is a known issue in the used MS Graph function and should be fixed by Microsoft.

KI6: The PortalTalk MS Teams app is not supported in the browser version of MS Teams. Although it seems the app is working correctly, the navigation to a MS Teams channel is not working.

KI7: The PortalTalk 365 web part Sites and Members are not supported in the SharePoint Mobile App at this moment. We are working on a solution for the future. The Sites web part is showing a ‘not supported’ message in the app.

Release 1.8

New functions

Product Backlog Item 40291: Version 1 of the PortalTalk 365 app for MS Teams
The full PortalTalk 365 UI/UX is made available as global MS Teams app. All PortalTalk functions can ni be performed inside the MS Teams application. The app is supported for the Windows app, and also the web version of MS Teams. This app can be uploaded and is available for every users in the tenant. To make the app accessible to the left rail navigation on top, some extra actions has to be performed to make it available to all users. The instructions to implement can be found in the ‘PortalTalk 365 App for MS Teams release notes’ document.

Product Backlog Item 40668: MS Teams by the MS Team UI, can be imported automatically in PortalTalk 365
MS Teams created in the MS Team App or Web UI can be automatically imported to PortalTalk 365. Making it possible to bring MS Teams directly under governance of PortalTalk 365.

Product Backlog Item 40669:  A default MS Team category can be set
This PBI is working closely with the automatic import in PBI 40668. These two together can make the onboarding of existing MS Teams to PortalTalk 365 easy. All in MS Teams created teams are shown in this category. The PT admin can choose to use show or not show the category in the UI, to make it possible to first only do the import, and bring the PortaTalk 365 UI to the end users later.

Product Backlog Item 40667: A team manager can move a team to another MS Teams category
If all imported MS Teams are available to the end-users in the default category, the next step is to reorganize them to different MS Teams categories. This can be done by editing the properties of the MS Team board in PortalTalk 365. The team manager can choose from all available MS Team categories, and the MS Team will be placed to that category. New ‘Control Access’ policies of that category will apply to the moved MS Team.

Product Backlog Item 40665: [MS Teams] Unregister a MS team from PortalTalk 365
If a MS Teams is created or imported to PortalTalk 365, the PortalTalk 365 admin can decide to unregister it from PortalTalk 365. This will break control of PortalTalk 365, and the MS Team totally depends on the standard Office 365 and MS Teams control.

Product Backlog Item 40666: [MS Teams] Redesign of MS Team batch import function
The new import function will only support the import of MS Teams. Unified Group (or Office 365 groupes) or not longer supported. The function to import several MS Team at once is also supported. The function is moved from the User interface to the PortalTalk 365 management interface.

Product Backlog Item 37688: On ' Control access' screen sort on Username instead of Role
The invited users shown on the control access roles screen is now sorted on Username. Also the standard Invited Users screens are sorted on Username now.

Product Backlog Item 39203: Enhanced 'edit' button to edit supported fields of a workspace
Only name and descriptions of a workspace in PortalTalk 365 were editable, and only changed on the board. Now all editable functions of a SharePoint site of MS Teams are editable. The available options depends on the workspace type (Classic SP site, Modern SP site, Office 365 group and MS Team).

Product Backlog Item 40699: Editing setting on invite external users for teamsite (site collection)
Inviting external users on a teamsite (site collection) category is normally controlled by the site collection SP admin setting. Depending on the choice the team manager wants, the SP admin setting is now controlled directly in the PortalTalk 365 UI. So the team manager can control this setting for his workspace.

Product Backlog Item 39387: 'Control Access' settings moved to PortalTalk 365 Admin console
The decision to set ‘Control Access’ to a workspace has not to be taken by the team manager. This is an admin decision, so the setting for ‘Control Access’ is now on the PT Admin console, and can be controlled per workspace category.

Product Backlog Item 37632: Option to only preform 'Control Access ’ of external users
This PortalTalk admin settings now can control the scope of the ‘Control Access’. Standard every internal and external user has the be controlled. This new settings can set the tenant wide option to only control access of external users. If an external user is added later to a workspace, this will trigger the control access function for these external user. If all external users of a workspace are removed, the control access task for the team manager for this workspace will be stopped.

Product Backlog Item 39383: On 'Control Access' procedure control status of Shared Documents in the site
Documents who are shared by user are broken from the inheritance of the document library in a site. Leaving the permissions to these document uncontrolled of the site permissions maintained by PortalTalk 365. This new feature will give insights of the shared documents during the control access procedure. And will give the option to bring back the permissions of these documents to the document library.

Bugs resolved

Bug 35014: Invited user has not always direct access to SharePoint
This long lasting issue is finally solved. Giving an invited user access to a SharePoint site can take up to 24 hours. This is caused by the nesting of AAD group inside a SharePoint group. Solving the problem of this  delay on giving users access to the site can not be solved. This problem is solved by adding the invited user temporally to the SharePoint group. The user is also added to the AAD group, as usual. After 24 hours the PortalTalk 365 sync process will remove the users from the SharePoint group. Access to the SharePoint site is then taken over by the AAD group.

Bug 40850: PortalTalk Search limits the search-result to only one item per category
The search function will now show all workspaces and apps correctly.

Bug 40879: Create MS Team from PortalTalk 365 UI will fail often
The process of creating a MS Team is changed to the new Graph created MS Team function. This supersedes the old Graph function to create a unified group first and add a MS Team to that.


Known issues
KI2: The new Graph API function to create MS Teams (see: Bug 40879) is used to make the creation of MS Teams reliable. This Microsoft function is still in Beta release, but is expected be release to production soon.

KI3: The PortalTalk 365 MS Teams app is shown in the language of Windows. It’s is not taken the language settings of the MS Teams Windows app. This is a Microsoft by design.


Release 1.7

New functions

Product Backlog Item 39756: Remove the standard invite mail of Office 365 group

When user is invited to a MS Team by PT365 UI the invite mail  for the MS Outlook Group is still send. We are sending the PortalTalk 365 invite mail. This Outlook Group mail cannot be removed at this moment. The PT365 CAP Settings screen allows you to download the PowerShell script to Hide Unified groups. This script can be executed by the admin at a regular base to not only hide the Groups in Outlook, but also disable sending the invie mail.

 

Product Backlog Item 39204: Add create function into the web part Sites
For categories ‘Teamsite (sub-site), teamsite (site-collection), MS Teams and Personal App’ is it possible to add en new workspace of app directly from within the SharePoint UI. In the properties of the web par the ‘Create’ button can be switched on/off to enable the function.

 

Product Backlog Item 39205: Add invite user function into the web part Member

A user can be invited directly from within the Member Web Part in the SharePoint UI. So, you don’t have to go to the PT365 UI for that.

 

Product Backlog Item 39209: [Teams] PT365 will block external user invite on central setting

There is a new setting in PT365 admin to central block invite External Users to MS Team. The MS Team Admin also has to block external invites into the MS Teams Admin center to keep these two setting in sync.

Using MS Teams templates is suppred now by the MS Team clone function. A MS Team to be used for cloning can be set in the PT365 Admin categories screen for MS Teams. At this moment the MS Teams clone function only supports Channels and tabs (not the specific function on the tab)

A Yammer PowerShell script can be added to the Azure Function to create the Yammer Group and add this to a page in the SharePoint site by adding and configuring the Yammer Web Part.

Product Backlog Item 39388: Search results shows the 'Move to Top' icon
The ‘Move to Top’ icon is not available any more on the views. This is succeeded by th drag & drop function. This button is still available on the search results Sites page. So a search result can be moved to the top of the My view.

New functions

Product Backlog Item 36277: User Aad to PT sync with MsGraph API
Sync of AAD resources to PT365 databases was becoming to slow due to onboarding of large new customers. Also the availability of the new Graph API was responsible to rebuild the PT365 AAD sync engine. In this release the new sync engine is available. A sync job will only take minutes now instead of more than 1 hour.

Product Backlog Item 38000: script for hiding MsTeams as group in Outlook
When a MS Team is added by MS Team UI itself, the also created unified group is not visible anymore in Outlook. PT365 creates a Unified Group on creating a MS team first. This is still visible in Outlook as group. The added script will make the MS Teams connected Unified Groups by PT365 invisible. This script has to be run frequently by a tenant admin

Product Backlog Item 37096: Deleted site in PT365 when SP-site is already deleted
A user with appropriate access rights can delete a site, unified group or MS Team directly from within the application. This will leave the PT365 registration intact. Now a PortalTalk admin can delete the registration in PT365 admin console afterwards.

Product Backlog Item 38029: Check MS Team\UG\Modern sites\Classic sites archiving
In the release prior to the 1.6 all delete and archive functions to all supported workspaces are added. Not all necessary functions for deleting or archiving were in place. In this release a redesign of all functions to complete on deleting or archiving a workspace is made and implemented.

Product Backlog Item 38002: Use anonymous user as owner for MsTeam when archiving
When a MS Team is archived by PT365 the owner of the team is removed. A MS Team always needs a owner. So, an extra system account is added to the CAP config screen to register a AAD account. This account will be the new owner after archiving a MS Team. This will solve the known issue K1 for release 1.6

Product Backlog Item 38517: Url generator for Teamsite(Site Collection) and Teamsite(sub site)
New settings on the category screen of Temsite(Site Collection) and (Sub site) to set a automatic Url generator for the site url. A prefex for the Url can be set, for ex. PRJ-, the number of number can be configured and the start number of the first created Url. Service can be switched on or off.

Product Backlog Item 36233: Improve Re-consent, customer can do the consent by himself
The Re-consent button is used when a new release of PT365 needs changed permissions to the tenant. This has to be done by the tenant admin. At customer scenario’s the tenant admin was not a PT365 admin. We moved the button to do the re-consent to the user interface at the gear icon menu. Only when you are tenant admin the button is showed

Product Backlog Item 36503: Rename the term 'Attestation' to 'Access control'
The 1.5 release already translated the ‘Attestation’ term to ‘Access control’ in the Dutch language.

 

Bugs resolved

Bug 38314: Search scope of search box at ‘User Permission’ page is not set to ' Search Users'
In the 1.5 release the search scope of the search box of the Invite User screen was set to Users. But not for the ‘User Permissions’ screen. This is solved now.

Bug 38318: [CAP] Remove settings from the Application settings screen.
Removed the old Application legacy for settings roles to application. Removed that on delivering the new app management functions in 1.5 release. We left some old UI elements which are removed now.

Bug 37609: CAP/ Application : Error after delete AAD group used for company app
When an AAD group is deletd which is used for a company app, an error is generated on the CAP configuration screen of that app. Now, the AAD group, when deleted in AAD, is automatically removed from the settings.

Bug 38072: Missing Dutch Setting MS Teams, and please spell Sharepoint with a capital ‘P’


Known issues

KI1: SOLVED - When a MS Team is archived the owner is removed and the MS Team system account is set to ‘read only’ by PT365. Microsoft will reset this owner access rights back to ‘full control’ in a couple of minutes. For a next release we try to find a workaround for this behavior.
